PROJECT MANAGER ASSISTANT – CLIENT SERVICES

As a PM ASSISTANT, your main responsibilities are:
To assist Project Managers with administration duties and allow Project Managers to spend more time on client related issues.

Create and send invoices for completed jobs
Revise reports as required
Faxing/e-mailing of results, reports to customers
Filing
Electronic reporting
Admin Support for PM’s and Sales
Confirmation of Surcharges for Rush Jobs as well as price approval
Enter data from worksheets
List rush jobs for the day and ensure results are reported on time
Check on overdue rush jobs and report to lab & PM’s
Generate credits on jobs incorrectly priced
Process Visa/MC payments when required
Check invoice summary and correct errors with accounting
Prepare and submit monthly billing report to managers
Check report tables for results showing “TBA” or duplicates
Hold files for invoicing due to pricing issues and resolve with PM’s
Respond to client requests for bottle orders, pick-ups and deliveries, sample/results status
Act as back up for Project Managers when they are not available, analyze client needs, share & interpret this information with the Supervisor, Sales and key Lab personnel.
Return all customer communication in the shortest time delay.
Resolve all customer complaints / concerns in the most competent and timely manner.
Provide constant feedback and follow-up information to the customer in relation to specific projects and evaluate the client’s satisfaction level.
Work closely with Sample Reception to share information to ensure that the information entered into MaxLIMs is correct the first time
Perform confirmation checks for PMs
Develop a collaborative relationship with key personnel to ensure expedient processing of customer requests.
Answers questions from customer pertaining to bottle requirements, minimum sample volume & internal / external lab TATs.
Establish priorities and plan the work in the most efficient manner.
Enter new clients into the MaxLIMs Client Maintenance in order to enter jobs in the Job Entry module of MaxLIMs.

You are the ideal PM ASSISTANT if:
You possess a High School Diploma (required), College Diploma in Chemistry or equivalent preferred
You possess knowledge of LIMS programs (an asset)
You have strong written & verbal communication skills.
You have strong computer skills (word, excel, power point, etc.)
You have Customer Service/Sales Training
You have Six Sigma Training (an asset)
You have basic Financial Accounting (an asset)
You are independent, self-motivated
You are friendly, energetic and outgoing
You have good attention to detail
You possess excellent organizational skills
You are a team player
You have a positive attitude
You are a good communicator
You are adaptable to change
You possess excellent time management skills
