PROJECT MANAGER ASSISTANT (15 month contract)

As a PROJECT MANAGER ASSISTANT, your main responsibilities are:
Ensure accuracy of information for all in-house projects (including, but not limited to test codes, project references, pricing)
Ensure all client orders (including, but not limited to bottles, jobs, quotes) are entered in a timely manner (subject to PM review/approval)
Act as a back up for functions performed by project managers
Work closely with project management staff to grow Maxxam’s market share with existing and new clients
Proactively ensure overall satisfaction of client base including communication to project management/supervisor as appropriate
Use innovative and proactive methods to ensure core performance standards and business goals as measured by score cards, coaching sessions and key performance indicators are achieved
Attend regular team meetings to share Corporate and Departmental information, and to communicate and share ideas
Adhere to Maxxam’s quality systems QA/QC, SOP’s and external accreditation requirements
Adhere to Maxxam’s safety policy
Provide support to other related departments or areas as required (i.e. Sample Entry, Bottle Prep, Archiving)
Committed to working in a team environment demonstrating a positive approach
Demonstrates refined problem solving, decision making and conflict resolution skills
Ensure “Good Housekeeping” standards are met or exceeded
Maintain training records
Based on tenure, clients will be assigned on an overflow from project management or directive basis. If a client is assigned, then:
Primary point of contact between Maxxam and assigned client base
Provides clients with accurate, consistent and timely information, consulting with appropriate resources when required
Assist with client meetings and/or conference calls to address issues, needs analysis and trouble shooting of company profile set up and maintenance to ensure client satisfaction is achieved and business potential is maximized
Research all client inquiries to complete resolution, enter corresponding orders/quotes with complete documented follow up
Provide clear, concise and accurate information to operations as it pertains to client projects (including, but not limited to rush and ongoing projects)
Report analytical results to clients within expected turn around times (TATs). If necessary, provide clear and concise instructions based on report findings (results, QC, etc)
Fundamental understanding of Maxxam’s QC policies as it pertains to reportable results
You are the ideal PROJECT MANAGER ASSISTANT if:
You possess a University degree or college diploma in Sciences, preferably chemistry or environmental related and/or equivalent experience
You have experience in a laboratory environment
Excellent communication skills (both written and verbal)
Energetic personality that can work independently in a multi-tasking fast paced environment
Ability to work independently as well as engage others when required in escalation of concerns to meet the client needs or to best manage client disappointments
Good knowledge of computers (Microsoft Word, Excel, Outlook)
