Manulift EMI Ltd, The Canadian leader in rental and sales of Telehandler is currently seeking for a highly motivated Office Manager for our Calgary branch. The office manager will be responsible for the administrative tasks, act as a sales support and will be responsible for the parts department. The Office Manager will also act as a foreman assistant for the Calgary office.

The challenge

  • Answer and transfer calls, greet customers at the reception
  • Liaise with sales reps, customers, suppliers and contractor
  • Maintain customer relationships and enter information in the CRM
  • Support sales with rental activities: quote, contract, invoicing
  • Insure maintenance of building, tools and shop
  • Order and maintain office and shop supplies
  • Perform Banking, account receivable and payable duties
  • Support the parts department and maintain the inventory
  • Creates PO’s
  • Responsible for shipping and receiving
  • Manage the inventory returns (rma)
  • Maintain daily spreadsheet on machines and attachments availabilities and timeline for customer delivery (rent/sale/ready)
  • Perform the duties of Health and Safety Representative for the Calgary branch
  • Research and be informed about Alberta OHS regulations and compliance
  • Maintain marketing supply (brochures/one pagers, etc.)
  • Ensure all required PPE, First Aid and Health and Safety items are in stock and in date
  • Research and be informed about Alberta OHS regulations and compliance
  • Make recommendations and take action to ensure compliance
  • Any other related tasks
  • Foreman assistant for our Calgary office:
  • Complete the management service spreadsheet
  • Place order for parts and follow up
  • Manage work orders, warranty documents
  • Subcontractors: research, price, PO’s, invoices, charges to WO
  • Support the quotation process
  • Schedule maintenance and repairs on our service vehicles, verification on tools and inventory
  • Data management on service call tracking program, quality control documents
  • Support rental activities including damage, insurance claim, swap
  • Take the reservation and arrangement for occasional technician’s trip.
  • Calculate result of quality control verification

Requirements and Qualifications

  • Minimum 5 years’ experience in administrative and customer service role
  • Sales and Operations support experience
  • Strong computer skills and experienced with CRM
  • Experience with accounting basic tasks, AP/AR, bank deposit, etc.
  • Strong verbal and writing communication skills
  • Experience with PO’s, inventory, data management
  • Good knowledge of the machinery industry
  • Experienced working in collaboration with service and/or parts dept., an asset
