As a Business Administrative Assistant based in our modern Winnipeg office, you will provide effective, proactive, and reliable administrative support. The role requires a cheerful, friendly, personable, and well-presented professional. The individual must possess excellent computer skills, along with a helpful and flexible can-do attitude. The nature of the work is highly reactive so it requires an individual who is able to prioritize workloads and assist with providing an excellent service to the team and to clients.

Your Role:

Under the direction of the Sales and Administration Manager, the incumbent is responsible for assisting and supporting day-to-day administration related to marketing, engineering, and sales, as well as, coordination of a variety of business activities associated with the provision of products and services to the end user clients, representatives, and associates of Manitoba Hydro International Ltd. (MHI).

  • Assist with the preparation, acquisition, coordination and maintenance activities; relating to promotional activities and materials for all products and services of MHI including digital or print advertising, mass emails, press releases, brochures, literature, tradeshows, etc. and coordination with other divisions of MHI where applicable.
  • Coordinate the schedules and arrangement of marketing and engineering related events and training.
  • Assist with a variety of sales processing including licensing, reporting and delivery of products and services, including creation and maintenance of marketing sales communication in CRM and other databases and tools.
  • Gather data, details and compile information to summarize and analyze data for reporting and budgeting and assist with project financial tracking and performance measures.
  • Assist with the development of proposals, RFPs, and other related commercial and technical documentation related to engineering services and products. This includes the maintenance of project schedules, timely submission of project deliverables.
  • Assist with and suggest solutions to customer issues using creative and innovative approaches.
  • Assist with the technical support triage, including communicating with customers, reporting, and creation and maintenance of customer support cases.
  • Develop and nurture working relationships with team members, participating on project teams and providing input to team and own work processes. Within key areas of responsibility, expected to lead, provide back-up support, and prepare standard process documentation.
  • Prepare reports and data analysis for use by Management.

About You:

  • Grade 12 education with a minimum of two years directly related office experience.

or

  • Grade 12 education plus completion of commercial or vocational special courses and one year directly related office experience.
  • Demonstrated ability to plan and coordinate work, with broadly defined objectives, to ensure that deadlines are met, and ability to work under pressure, adapting to situations as necessary.
  • Able to establish and maintain successful working relationships with staff at all levels as well as clients, external suppliers, designers, shipping and customs agencies and other vendors in the performance of regular duties.
  • Self-motivated and capable of organizing assignments with a minimum of instruction and supervision.
  • Highly developed personal computer skills, including a demonstrated proficiency in using complex or advanced features of software applications, particularly as they relate to word processing, spreadsheets, databases and presentation programs.
  • Knowledge of the following software is an asset: Microsoft SharePoint and Salesforce (CRM)
  • Proactive, self-motivated and high degree of demonstrated planning and organizational skills.
  • Demonstrated initiative and sound judgment in the analysis of situations and work methods.
  • Mature judgment, discretion, and ability to work harmoniously in a team setting.
  • Possess a valid Province of Manitoba driver’s license.
