The Occupational Health and Safety Assistant is responsible for providing administrative and organizational support to the Manager, Occupational Health and Safety and the Occupational Health and Safety Department.
The incumbent will provide complex and confidential administrative support in a dynamic environment, and will function with a high degree of attention to detail, quality, accuracy and prioritization of work in a team setting. While the Occupational Health and Safety Assistant supports individuals, the individual also supports the collective needs of the team and advances a service culture and professionalism that exemplifies Mackenzie Health’s values and guiding principles.

Responsibilities • Provides highly skilled administrative support services, which includes but not limited to, managing reception, scheduling and calendar management, answering inquiries, preparing/distributing minutes and materials related to meetings, developing agendas, preparing correspondence (memos, letters, proposals and presentations), preparing Parklane/Excel reports, data entry, web based searches, file and photocopy management, processing invoices, and office supply maintenance, etc.
• Continuously reviews processes with the goal of automating transactional services and brings forward recommendations for administrative improvements.
• Oversees system upgrades and testing, including Parklane.
• Ensures the efficient day-to-day functioning of the department by providing high quality administrative support to the Occupational Health team.
• Assesses and anticipates the needs and provides administrative support to the Manager, Occupational Health and Safety and is able to make independent decisions based on knowledge of current situations.
• Updates health and safety metrics and administers tracking database as required.

Qualifications • Successful completion of a Business Administrative Diploma or related discipline from a recognized Community College preferred.
• 3-5 years relevant experience in an advanced administrative capacity in a healthcare setting or equivalent combination of education and experience.
• Experience in Occupational Health and Safety an asset.
• Advanced computer skills, including advanced knowledge of the MS Office Suite, such as Word, Excel and PowerPoint.
• Working knowledge of Parklane System an asset.
• Knowledge of medical terminology.
• Calendar management experience with an ability to schedule meetings effectively and in a timely manner.
• Strong customer service skills with an ability to effectively manage multiple priorities with competing priorities.
• Strong written and verbal communication skills and a professional telephone manner.
• Able to work effectively independently and as member of a team in a busy and varied environment.
• Excellent organizational, planning and coordination skills.
• Self-directed, detail oriented and dependable.
• Demonstrated understanding and compliance with patient and staff safety policies and procedures that foster a safe and inclusive environment for all.
• Ability to perform the essential duties of the job.
• Effectively uses empathy in interactions with others.
