This is a regular full-time position.

Reporting to the Life Client Service Manager, you will provide administrative support to Individual Insurance – Individual Life Client Service and Individual New Business Operations. The Admin Assistant will contribute to the department’s success by providing timely, focused and efficient administrative support.

Accountabilities :

  • Assist in maintaining departmental management reports such as vacation schedules, monthly budget analysis, service stats, etc.
  • Co-ordinate all paperwork and set up system access requests, finding space, security badges, and other requirements for new hires.
  • Maintain BCP plans, update coordination, lock boxes, etc.
  • Handle and maintain confidential materials.
  • Assist in preparing presentations and correspondences using Microsoft Word, Excel, PowerPoint and Outlook and review for accuracy.
  • Organize departmental meetings and corporate meetings by sending invites, booking rooms, requesting room set-up, agendas, finding office space for visitors, etc.
  • Responsible for departmental supply ordering and acting as the service contact.
  • Support for divisional and departmental employee recognition events.
  • Act as an effective liaison with other admin assistants and departmental contacts for coordination of travel arrangements.
  • Assist in departmental projects and additional requirements as required by operations.

Qualifications and Competencies :

  • Strong PC skills (Excel, PowerPoint, Word, Outlook, Adobe Acrobat Pro).
  • Ability to work with a diverse group of individuals and all levels of management.
  • Must be a self starter and be able to work independently as well as in a team environment.
  • Strong organizational, planning and time management skills.
  • Strong interpersonal and communication skills.
  • Strong team player with initiative and the ability to prioritize and multi-task with minimum supervision. Proactive.
  • Demonstrated commitment to self-development.
