The position of Executive Assistant will be under the direction of Leonard Brody, Chairman of Creative Labs a Joint Venture with CAA, the Largest Sports and Entertainment Agency in the world. The Executive Assistant provides advanced secretarial and administrative support services. This position offers a flexible work environment, allowing the Executive Assistant to regularly work from a home office. To be successful in this position, the candidate must be results oriented, have the demonstrated ability to effectively prioritize workflow.

What will you do?
Co-ordinate Leonard’s schedule, appointments, and reservations

Meticulously manage global travel arrangements, including flights, hotels, and car services

Prepare travel itineraries and cost analysis options that meet schedule & budget requirements
Manage expense reports and reconcile receipts against multiple credit cards

Prepare, send, track, and reconcile invoices to an array of clients

Manage accounting administration and yearly tax preparation
Prepare and/or edit internal and external letters, faxes, memos and mass emails.
File and retrieve documents and reference materials
Conduct research, assemble and analyze data to prepare reports and documents
Monitor, respond to and distribute incoming communications
Answer and manage incoming calls
Receive and interact with incoming visitors
Interact with external clients

Assistance with personal tasks (e.g. meeting trades or organizing work at Leonard’s home etc.)
Any other tasks required by the Leonard

What are we looking for?
1 or more years’ experience supporting an Executive
Excellent communication skills both oral and written
Basic computer skills PC skills/Mac i.e. Word, Excel, Power Point and MS Outlook (Excel is a must)

Familiar with calendar programs iCal and Google Calendar
Effective organizational and time management skills
Ability to maintain confidentiality is essential
Ability to work independently
Organizational and planning skills
Problem analysis and problem-solving skills
Judgment and decision-making ability
Attention to detail and accuracy
Flexibility to work from home and from Office in Coal Harbour/Downtown area of Vancouver

Have regular access to a car and able to travel with short notice
