You are an experienced Administrative Assistant seeking an opportunity to leverage your skills within a large, corporate environment. Supporting the Executive Vice President & Chief Legal Officer, you will utilize your strong communication (both oral and written) and organizational skills to handle multiple priorities in an efficient, professional and confidential manner. You have a mature, flexible approach and work well autonomously.

This is a 6-month contract position beginning in late June.

Responsibilities

• Provide administrative support to the Executive Vice President & Chief Legal Officer, as required
• Manage, within prescribed time frames, high volumes of paper filing on a daily basis
• Organize, sort, alphabetize, photocopy, scan and shred files, forms and documents
• Maintain corporate minute books
• Update corporate organizational charts on a regular basis
• Assist with implementation of new legal document storage software system
• Perform additional administrative duties such as booking travel, conference reservations, review and respond to mail requests, complete expense reports and order supplies
• May perform other related duties as assigned

Requirements

• Minimum of 5 years of experience in a similar administrative position, providing support to senior-level executives
• Completion of post-secondary coursework in office administration; legal experience an asset but not required
• Excellent knowledge of MS Office applications, particularly Word, Excel and Visio
• Mature, confident approach to all administrative duties
• Excellent organizational and planning skills and the ability to adapt to changing priorities
• Strong written communication skills for creating and editing professional correspondence and related documents
• Professional demeanor with strong business acumen and diplomacy
• Attention to detail and accuracy, particularly when dealing with repetitive tasks such as filing
• Proven ability to maintain a high level of confidentiality
