TERM SPECIFIC – PART TIME (4 days per week)


This position provides clerical, operational, financial and administrative support to the Finance Department.

The position anticipates, organizes, schedules, and assists with the administration, operations, and flow of information. This position completes a variety of financial tasks and ensures records and files are accurately managed.


  • Coordinate and process the accounts receivable function; including entry of payments, adjustments, reconciling and maintaining customer accounts, follow up on collections of customer accounts.
  • Assist with the maintenance of general ledger.
  • Set up and maintain service contracts and records.
  • Coordinate travel arrangements and identify vendors to receive competitive rates for car rentals, flight and hotel bookings for employees and guests.
  • Prepare travel itineraries and make air/hotel reservations as requested; prepare documentation for travel advances if required.
  • Purchasing and receiving – placing and receiving orders and working with suppliers.
  • When required, support the weekly process of the accounts payable function: ensure coding and authorization for payment; invoice entry into Sage ERP; ensure accuracy; cheque production, signing and distribution.
  • When required, support the reconciliation of vendor statements for accounts payable and liaise with businesses regarding accounts.
  • When required, ensure travel advances and credit memos are reconciled in a timely manner and entered into the system.
  • Produce financial and statistical information that may include: purchase order preparation, data entry, preparing spreadsheets; processing receipts, invoices and cheques.
  • Coordinate purchasing procedures ensuring adherence to policy; provide guidance and support. Monitor and audit outstanding purchase orders.
  • Monitor, ensure and report on expenditures in accordance with internal control systems, overall KKCFS budget and financial policies.
  • Assist in the preparation of reports and submissions as required.
  • Assist with financial policy development


Academic Preparation

Diploma in Business or Office Administration or a combination of education and experience.

Required Skills, Knowledge and Experience

  • 2-3 years of Accounting experience;
  • Excellent written and oral communication skills, proficiency in high-level business correspondence;
  • Respect for and knowledge of Ktunaxa and aboriginal rights, culture, history and goals
  • Knowledge of and experience in working within protocols and procedures
  • Experience working with a variety of committees and boards
  • Pleasant, professional and efficient customer service skills
  • Business Administration Certificate or Diploma;
  • Accounting 101 and 102;
  • Records Management;
  • Excellent computer skills including Microsoft Office, Excel and Sage ERP;
  • Ability to perform effectively under pressure, meet deadlines and adjust to changing priorities;
  • Work effectively independently and as a team member;
  • Ability to manage multiple tasks simultaneously with accuracy and consistency;
  • Capacity to prioritize and manage a number of competing initiatives and timelines;
  • Follow up, track and monitor various projects and tasks to ensure smooth flow;
  • Strong attention to detail
