To perform all secretarial duties as required for a geographical full-time member of the Department of Surgery, Division of Orthopedic Surgery and attending staff surgeon at KGH/HDH.
These duties will include handling of confidential material and major organizational and administrative role of his work, office duties in connection with patient care, teaching, and research activities.
Within this role the employee is accountable for contributing to the delivery of the Kingston General Hospital strategy. As an employee, one must demonstrate an awareness of and be responsible for actively promoting and supporting patient and family centered engagement and care in all we do.
Understands and is familiar with all pertinent KGH policies and procedures including those relating to workplace conduct. DUTIES & RESPONSIBILITIES:
Patient Care: Medical secretarial support to the Physician’s clinical practice including answering a high volume of daily inquiries from patients, physicians, secretaries, students, colleagues, and hospital personnel. To prepare and forward the surgeon’s dictated medicolegal reports to lawyers and insurance forms.
Co-ordinate new patient referral triage system. Work on the Patient Care System to book a high volume of new and the majority of repeat clinic appointments. Co-ordinate the O.R. and clinic scheduling and maintain an up-to-date Surgical Wait List (Novari). Performing and maintaining all audits on patients on the Wait list Tool (Novari). Where necessary, re-arrange OR schedule to accommodate a more appropriate day. Maintain on-call patient activity for follow up clinic visits. Co-ordinate all clinic changes, template changes, and special clinics. Working closely with other administrative staff to reschedule clinic and OR schedules collegially within the Division of Orthopedic Surgery.
Where necessary, book radiology appointments to obtain appropriate X-Rays, CT Scans and MRIs.
Responding to an extensive volume of telephone inquiries on a daily basis.
Administrative and Academic: Secretarial support for the physician’s academic and research endeavours including assisting in organizing his work schedule as it relates to his practice, management, research, and teaching responsibilities. Make travel and accommodation arrangements for scientific meetings and seminars. Ensure surgeon’s CV is up-to-date and maintain his Annual Reporting Tool (ART) to track his academic activity.
Complete a high volume of typing, and correspond with lawyers and other health care professionals in a timely manner.
Answer and return a high volume of phone calls and messages. Maintain the physician’s daily/weekly calendar in Outlook. Organize and maintain a current and up to date filing system for patients, administration, teaching and research activities. Order supplies, organize daily mail, and ensure that office and teaching equipment is in good repair. Liaise/assist the accountant with appropriate financial paperwork in maintaining accounting books.

BASIC QUALIFICATIONS:
• A two-year Medical Office Administration diploma from an accredited Community College or an equivalent combination of education and experience.
• Two (2) years of experience within the past five (5) years as a medical secretary in a healthcare (preferably a surgical office) and university setting.
• Dicta typing skills.
• Proficient knowledge of medical terminology, including surgical terminology. Demonstrated knowledge of Windows applications including, Word (Level 2), Excel (Level 1), Internet, electronic mail and scheduler ie. Outlook.
• Must be willing to learn new software or applications specific to our centre.
• Keyboarding 55 w.p.m. on test.
• Good communication skills in dealing with patients, physicians, and allied health workers.
• Administrative/organizational skills to ensure efficient running of the office.
• Basic accounting knowledge.
• Demonstrated ability to work efficiently on own initiative under pressure.
• Knowledge of orthopedic surgery terminology and equipment considered an asset.
• Proven ability to attend work regularly.
• Satisfactory criminal reference check required.
