SUMMARY OF POSITION
Responsible for all aspects of customer service as well as build strong customer relationships to the assigned territories. Provide information to customers, in response to enquiries about products and services; review and process standard and repair orders; document and resolve product, service problems and complaints. Provide support to Account Executives whenever necessary. Suggest ways to continually improve business operations within the Customer Service Department to the Customer Service Manager.
Processing customer orders in a timely basis, and in accordance with company policy.
Respond to customers enquiries and investigate issues regarding product, pricing, service and delivery in a timely manner, using the organization’s products and services.
Follow-up with customers on all on-going issues in order to maintain a Diamond Standard of service that matches our products.
Organize workflow to meet customer expectation.
Process customer receiving paperwork, received from the warehouse.
Update Service/Repair orders, from preparing estimates to invoicing.
Maintain accurate customer records by updating account information in SAP, CRM and customer files.
Enter or Create and forward quotations to management for approval as required.
Adhere to company policies and procedures at all times.
Work closely by communicating and coordinating with other departments and sister companies.
Log complaints within the Complaint Handling System (CHS) in accordance with company procedures and policy.
Provide supporting documentation to Account Receivable for overdue invoices.
Run daily reports on blocked orders, repairs, backorders, outstanding trades, billing blocks, etc.
Remain current on new product lines, product changes as well as current promotions.
Follow-up with customers on overdue, competitive and non-competitive trades that have not been returned to KSEC in a timely manner.
Provide back-up to Customer Service Representative with Protection 1® business responsibilities.
SAP testing as needed.
Participate in KSEC or North American initiatives such Internal Audit, Process Improvement, Customer First Culture, etc.
Escalate sensitive Customer Issues / Complaints to Customer Service Manager promptly.
High school graduation required.
Minimum 3 years of customer service experience.
Bilingual (French-English) verbal and written communication a strong asset.
Type 30 WPM.
Proficient computer skills in Microsoft applications; Word, Excel and Outlook.
Prior experience working with SAP preferred.
Highly developed sense of integrity and commitment to customer satisfaction.
Ability to resolve complaints and deal pragmatically with challenging customers.
Excellent interpersonal skills, verbal and written communication skills.
Strong analytical and problem solving skills.
Excellent organizational skills, ability to multi-task, high level of attention to detail and accuracy.
High personal standard of excellence, sense of urgency and demonstrated initiative.
Work effectively as a member of a team and be able to work independently with limited need for direction or supervision.
Willingness to be a self-learner and take full ownership of work
Flexible work style to accommodate changing priorities with ability to meet deadlines is essential.
Flexibility to work overtime to meet business and departmental requirements.
