Organization: John Howard Society of York Region Title: Manager of Finance and Administration Reports to: Executive Director ______________________________________________________________________________ Summary of Responsibilities: Reporting to the Executive Director, this position manages the overall finances and administration of John Howard Society of York Region including the preparation, administration and monitoring of budgets and related reporting. Responsibilities include administering the company’s financial plans, policies and practices, fiscal recording and financial reporting. Financial:

 Coordinate all financial activities including accounts payable, accounts receivable, general accounting, payroll, financial planning and reporting

 Develop fiscal and program budgets

 Prepare monthly and quarterly financial statements and variance analysis

 Prepare cash flow forecast and cash management strategies

 Prepare year-end working papers and participate in annual agency audits

 Complete reconciliation of bank statements and prepare bank deposits

 Develop and maintain accounting files and records

 Complete the HST rebate and WSIB remittance

 Reconcile petty cash

 Review requests of staff mileage and expenses

 Maintain investment schedules

 Maintain up-to-date, complete and systematic filing system for bookkeeping and financial records

 Interact with board secretary and treasurer to prepare financial packages for board meetings

 Other financial duties as required Administration:

 Administrative assistant to the Executive Director

 Purchase supplies, furniture, equipment, service contracts, etc., as required.

 Document and approve staff vacation and sick time

 Ensure office coverage is maintained appropriately

 Ensure health and safety issues and incident reporting is completed and followed as per legislation and agency policy

 Attend management team meetings and staff meetings

 Administer the pension and benefit plan

 Coordinate the insurance plan

 Oversee and monitor third party contracts relating to day-to-day administrative operations, i.e., equipment leases and maintenance, supply vendors, telephone systems, computer maintenance and network administration, payroll services, benefits and pension administration, consulting contracts, etc

 Coordinate the completion of the Ontario Corporate Information return and annual CRA return and other administrative duties as required

Resource Development:

 Assist with grant/proposal writing as needed/appropriate with respect to the development of program budgets

 Discuss agency needs with funder or donors as it pertains to budgeting and financial reporting

 Create and implement development plans with management team Qualifications:

 Post-secondary education/designation in accounting, preferred e.g., CPA, CMA/CPA, CGA

 3+ years of experience in financial management

 Excellent computer skills including working knowledge of Quickbooks, Excel, Word and Outlook

 Strong verbal and written communication skills

 Accuracy and attention to detail while working under tight deadlines

 Excellent organizational and time management skills

 Practical problem identification and resolution skills

 High level of critical and logical thinking, analysis, and/or reasoning

 Ability to interpret and implement company policies and procedures

 Knowledge of all aspects of office administration

 Knowledge of employment standards

 Knowledge of accounting requirements and practices for non-profit and charitable organizations
