Basic Purpose of Position:

To provide Administrative support to the Airports Department on matters concerning Passengers Arriving without bags (PAWOB’s), Delay Coding, Contracts and Ancillary Products.

Key Activities:

  • Produce correspondence/reports for the Regions Area Managers and General Manager.
  • Provide research and project assistance when further information and assistance is required.
  • Provide assistance and support to executive and/or managers, senior leads as required.
  • Arrange and organize all general and regional meetings, functions, presentations, etc. to be attended or hosted by the Managers.
  • Maintain office supplies.
  • Prepare and maintain minutes and action logs as required.
  • Maintain Outlook distribution lists.
  • Maintain spreadsheets on area manager’s employee data.
  • Create pivot table reports.
  • Send Attendance Management Program (AMP) reports to Eastern region managers.
  • Receive the PAWOBs file from Air Canada, modify the file and send to all stations and upload the data into the application on a weekly basis.
  • Run a weekly audit report in the PAWOB application, for any outstanding files, pending acknowledgement. Send stations the Outstanding Monthly Report.
  • Monitor and ensure Standard Level Agreement (SLA) target is met or exceeded and any variations tracked and corrective action taken.
  • Track weekly performance and drive for improvement with support from each station.
  • Input ADHOC work orders into the Daily Flight Revenue (DFR) for services provided to customers with whom we do not have a formal contract, detailing the services and equipment we have provided, ensuring rates are current and updated as required.
  • Monitor and maintain all necessary reports and administer necessary follow-up with Ground Handlers/Managers.
  • Create weekly statistics reports and review with managers and ground handlers.
  • Complete Approval for Commitments (AFC’s) for new Airport contracts. Work with Strategic Contracts Manager and Airports Financial Services manager to build a business case for each contract.
  • Other related duties as assigned.
  • Perform duties in accordance with established policies and procedures while giving primary consideration to personal safety, and the safety of co-workers and customers.

Qualifications:

  • High school diploma or equivalent is required.
  • Post-secondary education is an asset.
  • At least 2 years of work experience in an office administrative role is required.
  • Candidates must be proficient with Microsoft office programs Outlook, Word, Excel and PowerPoint.
  • Candidate must be proficient working with Internet/Intranet and network environments.
  • Candidates must be well organized, manage time effectively, prioritize multiple tasks, and meet deadlines.
  • Airports experience is an asset.
  • Bilingualism (French & English) is an asset.
  • Some travel may be required.
