Overview/Purpose: This part-time position provides effective leadership administratively and organizationally for the functions of the Vice President, Advancement & Strategic Operations.


Reports to: Vice President, Advancement & Strategic Operations

Key Internal Relationships: National Service Directors

Executive Assistant to President

National Service Staff

External Relationships: Major Donors and Donor Prospects

Key Responsibilities:

Personal Development

  • Develop areas of expertise related to job assignment

Effective Communication to Inter-Varsity Staff and External Relationships

  • Process incoming calls, mail and email messages for appropriate action
  • Prepare correspondence, presentations, reports, minutes and related materials
  • Arrange meetings, prepare agendas, notify attendees and take minutes
  • Develop and maintain manual and electronic file systems
  • Prepare expense accounts and reconciles with supporting documents
  • Service the Vice-President with administrative assistance

Co-ordinate Schedule of Meetings and Events

  • Co-ordinate master calendar with Vice President
  • Develop and manage an events and meeting file with needed materials
  • Book travel and meeting room requirements
  • Coordinate, plan and service key meetings
  • Book meetings with donors, staff, Board members, and other audiences as required
  • Develop and implement key projects as negotiated with Vice President
  • Produce assigned reports
  • Commit to securing a funding target
  • Provides personal assistance to the Vice President as required

  • and Risk Management Procedures Policy Post-secondary degree or equivalent, with a minimum of 3 years of work related experience in an administrative capacity Proven ability to work effectively with senior leaders and members of the business community Demonstrated business professionalism with respect for confidentiality and appropriate handling of sensitive information Proven ability to manage multiple, conflicting priorities with a high level of productivity Strong organization, planning and time management skills with the ability to make decisions and prioritize work with minimal supervision Proven ability to manage multiple programs/projects to deadline, project management experience preferable Strong oral and written skills in English with established editing and proof-reading skills Advanced skills in various applications such as Word, Outlook, PowerPoint, Excel, Access and Raisers’ Edge
  • Proven ability to work in a fast paced environment with challenging and changing deadlines
  • Excellent problem-solving and conflict management skills
  • Proactive, interdependent, and positive attitude
  • Proven ability to work in a team environment
