REPORTS TO: Employment Coordinator

WORK HOURS: 14 hours per week, days/hours per day to be determined. Ideal candidate must be flexible.


Based on MISA Wage Grid, Level 6, Wage Range $17.76 – $20.24


The primary function of this role is to provide direct service delivery to Work BC clients by setting up client appointments, conducting client intake assessments and ensuring the accurate collection of initial client data and input of client data into the required database.

  • Provide a welcoming environment for all employment clients by providing services in accessible language and communicating when language is a barrier.
  • Answer phones and in-person inquiries and ensure messages are accurate and delivered in a timely fashion.
  • Schedule employment client appointments and prepare required paperwork for Employment Coordinator.
  • Assist in management of employment calendar.
  • Set up new employment client files following guidelines.
  • Assist with maintaining accurate and current filing system for employment client records.
  • Make reminder phone calls to clients regarding appointments.
  • Assist with monthly billing and deliverable reports.
  • Perform accurate and timely data entry of client information into required databases.
  • Assist with resume, cover letters and other data entry.
  • Assist with researching and engaging/building relationships with employers.
  • Researching and preparing employment materials for Employment Coordinator for client appointments.
  • Meet regularly with Employment Coordinator to discuss ideas and strategies.
  • Maintain all information in an ethical and confidential manner.

Other Responsibilities

  • Participate in staff meetings and attend the Annual General Meeting.
  • Participate as a member of the Administration Team.
  • Follow MISA’s policies and administrative procedures.
  • Perform other duties as assigned.



  • Post secondary training in administration or a related field, or equivalent combination of education and experience.
  • Five or more years general office experience that includes reception and data entry functions.
  • Demonstrated computer proficiency and working knowledge of MS Office programs.
  • Fluency in English – (fluency in other languages a valuable asset).
  • The worker must have a valid BC driver’s license and reliable transportation.
  • The worker must have a satisfactory vulnerable sector criminal record check.
  • The worker will follow the code of ethics and mission statement of MISA. In addition, they will follow MISA processes and use MISA tools and where possible provide constructive feedback on the enhancement of these.

Preferred Skills, Knowledge and Experience, Attributes

  • Prior knowledge of Integrated Case Management System (ICM) or data base experience.
  • Experience working with immigrants and/or visible minorities, knowledge of the impact of immigration.
  • Ability to foster positive relationships with clients, co-workers, employers and community partners.
  • Working knowledge of current FOIPP Act.
  • Working knowledge of Ministry records management systems.
  • Ability to work one to one with staff or in a group setting to establish collaborative working relationships.
  • Provide service to clients and staff in a respectful, sensitive and confidential manner.
  • Excellent problem solving skills.
  • Understanding the case manager’s role and the outreach Employment Coordinator’s roles.
  • Well developed planning, organizing, controlling and administrative skills.
  • Effective organizational and time management skills.
  • Ability to effectively manage and adapt to rapid change, ongoing change.
  • Knowledge and experience maintaining confidentiality, appropriate boundaries with other staff and clients in a professionally assertive manner.
