IBI Group’s Vancouver office is searching for an Accounting Assistant for a maternity leave.

Reporting to Accounting Manager the Accounting Assistant is responsible for duties related to Accounts Payable, Project Costing, Accounts Receivable and various month-end accounting functions. For example, processing billing invoices for payments and reconciliation of various reports and accounts.

• AP Invoice verification/authorization, coding and payment processing.
• Vender statement reconciliation.
• AR payment clearing, cash and bank statement reconciliation
• Monthly PST reconciliation and reporting
• Responding to vendors various inquires
• Review of contracts for fees, billing terms, and milestones
• Preparation of invoices, drafting, finalizing and issuing invoices to clients
• Issuing of invoices on a timely basis to ensure monthly billing targets are met
• Liaise with Project Managers to monitor and track project budgets and billing
• Analysis of the project details to determine fees to be billed and to ensure all re-billable expenses are included on invoices
• Responding to client, auditors and project manager queries regarding invoices, including preparation of analyses and amended invoices when required
• Assist with ad-hoc analysis and reports as required
• Reconciliations of accounts, billings and schedules for consultants, clients or internal reports.
• Review sub consultant billings in conjunction with project manager, ensuring compliance to project budget, client billing and collection schedules
• Prepare project summaries and analyses as required
• Preparation of Journal Vouchers
• Preparation of employee expenses summary for billings and employee tax schedules T2200
• Assistance with month end timesheet processing

• Accounting degree or diploma.
• Some accounting experience required.
• Strong communication skills both verbal and written.
• A high degree of accuracy and attention to detail with excellent numeric skills
• Requires basic accounting knowledge such as account reconciliation and project accounting.
• Positive attitude and highly proactive.
• Must be highly organized and a team player.
• Previous work in Architectural or Engineering firm would be preferable.
• Proficient in MS Office, including Excel.
