Job Description:

HR Project Partners Inc. (HRPP) is a Human Resources consulting company offering various services in Human Resources, both to individuals and to companies. One of those services is recruitment for companies on a provincial and national basis.

HR Project Partners is currently accepting resumes for an Office Administrator. This role requires a dynamic person who can multitask in a client driven, fast paced environment. A willingness to be flexible and work independently is required. The role will include providing support in such areas as financial entries pertaining to payroll, accounts payable/accounts receivable and invoicing, database entry and management, travel coordination and other operations of the organization.

This position is located in St. John’s, NL.

Responsibilities:

  • Perform general office administrative duties and provide administrative support to the team;
  • Respond to all inquiries made in person, by phone or email or redirect as required;
  • Assist with weekly timesheet collection, payroll, expense reports and invoicing processes;
  • Support the administration of the accounts payable and accounts receivable systems;
  • Create and maintain an up to date electronic database of client contact information;
  • Maintain a candidate database, including training certification and indoctrinations;
  • Book and manage new hires testing and training;
  • Be responsible to manage all travel and vehicle bookings for new employees;
  • Create and maintain an efficient and secure filing system for all candidate information, and administrative and financial documents;
  • Assist with the preparation of monthly, quarterly and annual business reports including financial reports for clients;
  • Attend and participate in employee team meetings and training sessions;
  • Maintain the office supplies inventory;
  • Assist with the creation of proposals, contracts and project check lists;
  • Provide assistance to the Business Manager, Recruiter(s) and Account Manager(s), in all matters relating to the administrative and financial operations of the organization;
  • Represent the organization at various community involvement activities;
  • Contribute to the organizational development of HR Project Partners by identifying and bringing forth issues of concern and/or opportunities for improvement;
  • Contribute to the development of the position and undertake other tasks as they may be assigned from time to time;
  • Make contact with potential candidates and arrange for interviews; and
  • Assist with onboarding of new personnel as required.

Skills and Qualifications:

  • Diploma in office administration;
  • Minimum 3 years of experience in an office administration role;
  • Knowledge and experience Simply Accounting or other related accounting software;
  • Strong knowledge of computer software programs including MS Word and Excel;
  • Skilled in database entry and management;
  • Excellent written and verbal communication skills;
  • Exceptional customer service and interpersonal skills;
  • Superior time management and organizational skills;
  • Ability to stay focused on goals and objectives;
  • Ability to anticipate future needs and plan ahead;
  • Ability to maintain a flexible work schedule;
  • Ability to work independently with little direction;
  • Strong problem-solving skills and the ability to forecast, analyze and work under pressure; and
  • Strong organizational and planning skills with the ability to manage multiple priorities.
