ROLE AND RESPONSIBILITIES

Reporting to the Director of Operations for Fixed Centres and Mobile Blood Drives you are responsible for the secretarial and administrative support tasks at the Department of Operations for Fixed Centres and Mobile Blood Drives and the Department of Blood Product Production. You plan, coordinate and supervise the activities and work of the administrative support team. You are responsible for establishing work procedures and ensuring work quality.

More specifically, you:

  • Call meetings, book rooms and prepare the minutes;
  • Ensure the preparation of various documents within the required timeframe (presentations, briefings, letters, memoranda, statistics, etc.);
  • Receive and distribute the correspondence from both departments;
  • Organize and maintain the filing system for the two departments;
  • Develop control tools and track files to ensure they meet expected quality standards on schedule;
  • Work with managers from both departments to meet their administrative support needs;
  • Work with the Québec City administrative coordinator to harmonize work practices and procedures;
  • Manage your department’s human, financial and material resources.

REQUIREMENTS

  • College diploma or certification in administrative or secretarial techniques;
  • Minimum of 5 years of experience in team coordination in a unionized environment is considered an asset;
  • Mastery of Microsoft Office;
  • Fluency in both oral and written French;
  • Functional knowledge of English.

  • Excellent aptitudes for collaboration, communication and team work;
  • Good organizational sense and ability to set priorities;
  • Autonomy, sense of initiative and good judgment.
