Reporting to the office manager, this role provides overall coordination and administrative support services to Gwen Secter. The IT & Administrative Assistant works collaboratively with staff and volunteers, providing support to the Gwen Secter Team. Primarily responsible for IT and clerical work, the IT & Administrative Assistant’s key responsibilities will include:

  • Create and Maintain a Fund Development Database including data entry, donor reports and timely acknowledgements for donations received.
  • Participate in reconciliation of both Finance and Development’s donation records.
  • Develop new content and manage social media presence on Twitter, LinkedIn, Facebook and other online communication tools.
  • initiate website improvements and updates including:
  • Updating the website to make it more appealing and user-friendly
  • Create and manage engaging, insightful and factual copy and visual content for www.gwensecter.com while maintaining a user-centric focus.
  • Timely content updates/refreshes.
  • Work directly with site host on technical issues.
  • Maintain a user-centric focus on both navigation and content.
  • Identify key audiences (members, potential members, visitors to Gwen Secter, potential donors, news media, partners, etc.) and digital tools.
  • Adapt and respond to changing conditions, priorities, technologies, and requirements;
  • Preparation of letters, memos and all correspondence such as, communication with clients, vendors, employees and stakeholders;
  • Maintain accurate records & filing of records;
  • Provide assistance with special projects as required;
  • Daily calendar management and proactively adjusts schedule based on priorities;
  • Make travel arrangements and facilitate other logistical items as required;
  • Other duties as assigned by management that are related to this position;


  • A basic understanding of technology products
  • Experience in office administration and/or website administration or related field;
  • Ability to work well under pressure, meet deadlines and work with minimum supervision;
  • Highly proficient in MS Office Programs (Word, Excel, PowerPoint and Outlook);
  • Knowledge in website design, maintenance and development
  • Comfort with website management including familiarity with WordPress

You also must have been a full-time student during the previous academic year and be intending to return to full-time studies in the next academic year.
