Job Description

This is a contract position running until June 29, 2018.

 

Position Overview:

 

Reporting to the Associate Manager of Plan Sponsor Services, you will be responsible for various administrative support functions that support the Issue, Windup and Commission Team within Plan Sponsor Services. You will work closely with the GRS Issue Customer Service Specialists to assist them by preparing copies of plan sponsor legal documentation, government forms and member communication pieces for mail-out. This includes coordinating legal files from the London Records Centre, assembling plan documents, submitting signed legal documents to provincial or federal government offices, and coordinating various signed documentation from plan sponsors. Additional responsibilities are detailed below under Accountabilities.

 

 Accountabilities:

  • Creating Plan documents packages according to plan type rules, and forwarding to the Client Relationship Manager (CRM) for delivery to the plan sponsor
  • Maintaining scheduled follow up correspondence with CRM to ensure signed legal documents are returned by the plan sponsor
  • Preparing signed legal documents and submitting them to applicable government offices
  • Handling plan sponsor requests for printed member booklet orders
  • Preparing member schedule of fees to accompany requests for printed member booklet orders
  • Handling daily requests from Issue and Wind Up CSS’ for ordering, logging and returning legal files to and from the London Records Centre
  • Monitoring public folders for incoming business requests and questions, and following the applicable process for tracking and distributing the e-mails
  • Completing an annual inventory of legal files that have terminated and prepare them for shipment to the London Records Centre
  • Maintain statistical tracking for legal files and outstanding documentation
  • Able to take on special ad-hoc projects, as required

Qualifications and Competencies:

  • Working knowledge of OmniRIM & GPAS is a definite asset
  • Demonstrates above-average accuracy and performance in current role
  • Excellent communication skills; both oral and written
  • Strong interpersonal skills; must be a team player
  • Proven customer service experience with a positive can do attitude
  • Self-motivated with an ability to effectively multi-task and be comfortable with tight deadlines; results oriented
  • Ability to handle pressures fluctuating workloads and changing priorities
  • Comfortable communicating with a variety of internal business partners
  • Skilled in Microsoft Office tools including Word, Excel and Outlook
  • Organized and able to work in a dynamic and fast paced environment
