Position Summary:

The Customer Service Assistant is responsible for order management within the Supplair brand. The Customer Service Assistant will also support the Sales Manager with regards to operational issues and order management and will be the main point of contact for the final customer on day to day operational matters.

Essential Duties and Responsibilities:

  • Responsible for order processing and order management. This includes order-entry, confirming orders back to customer and arrange transportation for shipping
  • Track shipments for customers
  • Request price quotations quotation from transport companies and plan outbound shipment in most efficient way
  • Maintains forecast for dedicated accounts
  • Works together with Demand and Supply Department on forecast management
  • Creates production lists for Plant manager
  • Manages and communicates cycles changes
  • Request and sets up new item numbers in system
  • Maintains price agreements in system
  • Report KPI to customers and management
  • Main contact point for customer requests and ensure customer request are followed up
  • Supports Sales Team and Operations Team in implementation of new projects, cycle changes and customer presentations
  • Responsible for billing and resolution of billing disputes with assigned customers
  • Works together with Accounts Receivable Department to ensure timely payment of invoices
  • Generates weekly Accounts receivable reports and follows up on outstanding issues

Education:

  • High School Degree or GED required
  • Bachelor’s Degree in Business Administration or related field preferred

Work Experience:

  • 1-3 years Customer Service experience required
  • Sales and/or customer service experience in large scale catering operations, logistics and/or airline catering preferred

Job Skills:

  • Strong organizational and/or project management skills
  • Ability to shift roles and responsibilities, as business needs change
  • Ability to work effectively in a fast paced team environment
  • Ability to find innovative ways to solve problems
  • Advanced computer skills with MS Word, Excel, Access, PowerPoint, Visio and Project
  • Ability to work extended work hours
  • Ability to maintain a high degree of confidentiality

Communication Skills:

  • Excellent oral and written communication skills

Environmental Requirements:

  • While visiting or working within a production kitchen facility there may be physical discomfort due to temperature and noise
