Summary:

Provide administrative support to the Vice President, Legal Affairs and, when required, assistance to other lawyer(s), Law Clerks and other personnel within the Legal Department. This position requires someone who is articulate, conscientious, flexible, trustworthy and decisive. The incumbent needs excellent writing, analytical and organizational skills and must be able to think for themselves and work independently. Good people skills are essential to this position.

Primary Responsibilities:

Information management : read through incoming mail, memos, submissions and reports; analyze and highlight significant information contained therein and gather background material/files, if necessary, prior to presenting to VP.

Litigation: tracking status of all litigation, builders’ liens and arbitrations and provide updates for Quarterly Litigation Report for presentation to the Board.

Budget: Prepare annual Legal Department (Western) budget.

External Legal Costs: code all legal invoices for approval and payment; maintain monthly tracking reports of external legal costs; prepare quarterly accruals.

Letters of Credit: maintain and track all letters of credit.

Estoppel Certificates: review all leases, Propidex database and Property Management items for tenants and prepare estoppels certificates for each tenant at a given property, as necessary (i.e. sale or refinancing).

Joint Ventures: prepare invoices for Joint Venture properties and send with lease documents to Joint Venture partner for signature; ensure return of approved and executed invoice and documents.

Document Approval/Execution: review lease documents received from tenant (executed); provide lease documents to VP Legal (or legal counsel, as appropriate) for signature and then VP Leasing for signature.

RC Binders/Schedules: ensure restrictive covenant binders are updated with each new deal (i.e, add/delete tenant) – review lease and insert relevant clauses in binder together with copies of all relevant clauses/site plans; ensure Schedule of Restrictive Covenants is updated with each new deal (as required).

General: prepare a variety of real estate documents and correspondence; filing; expense reports; track and supervise work sent to external counsel; assisting with the opening, closing and maintaining of all tenant files; lease review/research as requested; maintaining VP’s working files; coordinate “traffic flow” on behalf of the VP; book and manage VP’s travel; other duties as required or assigned.

Knowledge, Experience & Skills:

Required level of education and job-related experience:

 5+ years of senior legal secretarial experience, preferably in commercial real estate industry

Specific Skills:

 Strong analytical and problem solving skills

 Proficiency with MS Excel, Word and Outlook.

 Excellent oral and written communication skills with the ability to effectively communicate across all levels
