Job Purpose

The job purpose of the Payroll/Scheduling Coordinator is two-fold. The Payroll coordinator is responsible for performing steps in order to provide payroll services on behalf of three long term care facilities encompassing 445 beds. Payroll actions are governed by 2 collective agreements which may result in each type of employee having differing compensation and deduction rules that must be adhered to. The Scheduling component consists of maintaining staff schedules in accordance with collective agreement requirements and departmental policies/procedures in place for the three facilities.
Primary Duties and Responsibilities

Calls and schedules staff for immediate book-offs and replacement of leaves of absence as well as schedule adjustments

Prioritizes work load

Confirms time off eligibility ie. vacation time

Maintains current seniority lists

Formats, prints and posts staff schedules

Compiles and follows call in lists

Collects, verifies, enters data, transmit and files payroll data

Verifies and inputs complements, ensuring overtime and premium pay are applied in accordance with the collective agreements

Keys TD1 and bank information into the scheduling system ensuring that correct branch/bank codes are applied and entered

Calculates and pays out vacation, and requests records of employment upon termination

Checks pay sheets and makes any necessary corrections

Informs payroll office (corporate) of any staff changes – entry of particular information for all new hires

Processes provisional payments due to errors and follows up (e.g. manual cheques,)

Monitors statutory holidays, earned time off, vacation, sick days, family days for correct pay-out and accrual

Tracks biweekly wage progression and processes calculations for salary increments

Receives inquiries, investigates and responds by letter to employees regarding various pay issues such as overpayment, repayment of wages, garnishment and pay calculation for example.

Education and Experience

Business certificate/diploma

1-3 years scheduling and general accounting/payroll experience

proficient in relevant computer applications
