We are currently seeking an Office Administrator for a 1–year contract located in our downtown Toronto office.
Role and Responsibilities
Oversee and ensure efficient completion of day-to-day operational office activities;
First point of contact for all general office questions, concerns, and activities;
Oversee facility management (property management, maintenance and cleaning staff, waste disposal, kitchen and office supplies, etc) and ensure service standards are maintained;
Backup reception and shipping/receiving duties;
Research, book, and manage travel arrangements and travel documentation for all staff;
Reconcile company credit card statements monthly;
Reconcile expense reports monthly;
Maintain general office tidiness and organization;
Maintain general office supply inventory (kitchen, cleaning, IT, office supplies, etc);
Assist with human resource initiatives as required;
Identify cost save opportunities via general operations;
Track and maintain various insurance records for the company and vendors.
Be the first point of contact for all IT concerns and solve software/hardware issues on the fly;
Liaise with and manage outside IT consultants;
Escalate serious issues and connect with IT support;
Set up workstations for new staff including computer(s), phone(s), printer(s), etc;
Manage IT projects as required.
Assist with planning and execution of various events (client appreciation, holiday parties, company socials & outings, etc);
Schedule and support all company-wide internal meetings.
Qualifications and Education Requirements
2+ years’ experience in a support function that includes office administration, office management, or facilities;
Bachelor’s Degree or equivalent;
Excellent organizational and time management skills;
Must be proactive, communicative, and able to work with minimal supervision;
Ability to handle multiple tasks simultaneously, to prioritize effectively;
Must be self-motivated with an eye for detail; solutions-oriented and a fast learner;
Proficient with troubleshooting computer issues, familiar with Microsoft office programs, and a natural knack for solving problems;
Ability to maintain good communication with team members, clients and vendors;
Ability to be resourceful and creative.
