Job Summary

What is the job?

This part-time, permanent Customer Service Representative and Administrative Assistant role is responsible to support and provide relief for front desk customer service, annual billing, and general administrative support to the Finance and Administrative Team. Your primary responsibilities will be:

  • Provides customer and staff support for inquiries and/or concerns through phone, emails, and one-on-one interactions.
  • Distributes incoming mail and packages and processes outgoing mail and packages daily; arranges for courier pick-ups for any outgoing packages and letters before the pick up deadline and assigns account codes.
  • Provides customer service regarding customers/members inquiries including billings related questions; maintains customer information in ERP system.
  • Assists in ensuring data integrity of member accounts in reference to member type, status, and other billing related information and communicates with Business Analysts regarding updates and corrections; handles administrative aspects of the billing process including payment processing, printing, and mailing of member cards; provides customer service by phone and email.
  • Helps with front desk coverage including switchboard and customer service; assists with office logistics including mail correspondence and meeting arrangements; processes walk-in members’ purchases of Law and Ethics books or CDs; acts as back-up support for overflow of registration related inquiries and member fee payments.
  • Provides support including creating invoices, processing payments and sending receipts to members for special events, courses, and seminars; assists registration coordinator with payment collection.
  • Provides admin support to the F&A team such as filing, data entry or any other special projects as required by the Manager.

Who are we looking for?

  • At least three to five years of experience working in a customer service, administrative support and data entry capacity
  • Completion of a post-secondary diploma preferred
