The Enrollment Coordinator is a customer service representative who shares the core values of Encore Studios, such as a commitment to quality, respect, and positivity. The Enrollment Coordinator is mainly responsible for the sales and administration of student registration, including handling customer inquiries and complaints, as well as managing customer accounts. He/she must ensure the confidentiality (as necessary) of files and follow business procedures.

The position will evolve with time therefore it offers great advancement opportunities. The workdays would be Monday – Thursday evenings and Saturday daytime, part-time, about 25 – 30 hours per week. Must be available as needed during day-time hours to answer email and social media inquiries in a timely manner.

Job Duties

  • Receiving new and existing student enquiries
  • Converting enquiries into registrations
  • Execute customer on-boarding and follow-up procedures in person, via email, and through social media
  • Track leads, book trials, and manage the registration procedure
  • Create and manage various social media ads that produce new leads (training provided)
  • Answer requests and questions via phone, email and in person
  • Execute withdrawal procedures
  • Continuing to build relationships with all prospects, students, families and visitors on a regular basis
  • Maintain positive relationships with prospects, customers, and visitors
  • Handle customer complaints professionally towards a positive outcome
  • Create and manage various documents in Word, Publisher, & Excel
  • Manage invoicing and accounts receivables for customer accounts
  • Monthly newsletter for the purpose of promoting the business to prospects and customers
  • Organizing promotional events such as Open House, Friendship Week, etc.
  • Maintain adequate office, cleaning, and break-room supplies and order as required
  • Ordering retail inventory as required
  • Administer and manage inbound/outbound mail, including courier services, and other correspondence
  • Filing and data entry as needed
  • Assisting the Artistic Director as needed

Requirements

  • High School Diploma or equivalent experience
  • Experience in office setting
  • Knowledge of Studio Director software systems an asset
  • Strong knowledge of Microsoft Office products, including Excel, Word, and Publisher
  • Able to maintain filing systems, databases, and basic diary management
  • Excellent analytical and problem-solving skills
  • Meticulous records maintenance skills
  • Superior telephone manners and strong interpersonal skills
  • Mature awareness of sales and business practices
  • Strong written and verbal skills to communicate with all levels of the organization and its executive team.
  • Strong customer service orientation.
  • First Aid skills and/or certificates are considered assets.
