Double Negative is one of the world’s largest provider of visual effects for Film. In the last 12 months we have completed work on a number of great projects including; Fantastic Beasts and Where to Find Them, Star Trek: Beyond and Miss Peregrine’s Home for Peculiar Children. We currently have a number of shows in production including Wonder Woman, The Mummy and Blade Runner 2049.
We currently have an exciting opportunity for Team Assistant to join our busy Vancouver-based Management team.
Opportunity
We have a great opportunity for an organized and proactive Team Assistant to join a fast paced, exciting organization, looking after a large and friendly management team.
Key Purpose of the Role
To provide an efficient and responsive administrative, organisational and logistical service to the management team, helping them to manage and prioritize their time.
Main Responsibilities and Duties

  • Co-ordinate diaries of all HoD’s
  • Undertake general administrative and typing tasks as necessary.
  • Undertake general organisation of the HoDs, recognising priorities and flagging issues to HoDs as necessary.
  • Act as an ambassador of Double Negative
  • Ensure meetings with the team are well taken care of and meeting rooms are adequately prepared.
  • Work closely with our recruitment team, booking interviews, arranging meetings etc.
  • Minute meetings as required, circulate actions; create supporting documentation and update relevant systems.
  • Project coordination of HOD projects.
  • Complete research on behalf of the team.
  • Aid the team in composing presentations for internal or external use.
  • Ad hoc project work e.g. organising company events and meetings, helping with the PR and Scheduling departments during busy periods.

Experience

  • Demonstrate experience in an administration/ executive assistant/ team assistant role in a pressurised environment requiring tact, judgment and discretion in handling internal contacts (essential)
  • Experience of diary management (essential)
  • Experience of successfully working with senior management (essential)

Knowledge

  • Must be proficient with keyboard and IT applications
  • Must be experienced in using different e-mail platforms
  • Intermediate level in the use of Word, Excel, and Keynote

  • Excellent organisational skills, ability to multi task and organise others
  • Excellent oral and written communication skills and ability to professionally represent the team
  • Ability to work under pressure and be flexible as part of a team
