Please note this position is for a six month contract, with the possibility of extension and/or becoming permanent.

The Accounting Clerk is responsible for a variety of accounting tasks for the Calgary office, and works closely with the extended team in Vancouver. This position is ideal for applicants who thrive on working independently, establishing strong relationships with staff and lawyers, and managing multiple priorities daily.

Duties and Responsibilities:

Billing:

  • Review invoices and proformas to ensure proper procedures are followed and approvals obtained;
  • Maintain records of authorizations;
  • Process Trust retainer applications;
  • Post manual disbursements to client files;
  • Assist Legal Administrative Assistants with billing inquiries;

Accounts Payable:

  • Receive and verify invoices requiring payment, including checking authorization, GL, and ensuring compliance with internal best practices;
  • Code invoices (general ledger and tax);
  • Prepare rush cheques daily, entering vendor invoices for weekly payment and arranging for signatures;
  • Code and enter expense reimbursement requests for payment in conjunction with payroll deadlines;
  • Maintain petty cash;
  • Place stop payments on stale-dated cheques;
  • Maintain Accounts Payable filing;

Backup Coverage for Accounts Receivable and Trust Accounting, including:

  • Post cash receipts;
  • Maintain banking, including daily review of deposits and posting of EFT/wire transactions;
  • Confirm trust funds in accounts are cleared and approve payments;
  • Process Trust cheques, transfers, investments and reconciliations;
  • Arrange wire transfers;
  • Ensure compliance with Law Society rules;
  • Other duties as required.

Knowledge, Qualities & Experience Required

  • Minimum of 3-5 years’ experience in a similar role ideal;
  • Experience in a legal office or professional services firm preferred;
  • Knowledge and understanding of Law Society By-Laws as they relate to Trust Accounting preferred yet not required;
  • Proven problem-solving skills with the ability to visualize and deliver creative solutions;
  • Experience in any financial operating system, in particular Elite Information Systems and ARCS;
  • Proficiency with Excel and Word 2010;
  • Strong technical aptitude;
  • Detail oriented, methodical, well organized, with quick and efficient data entry skills;
  • Excellent organizational and time management abilities required to prioritize a high volume of tasks or competing priorities;
  • Dedicated to providing service beyond expectation;
  • Excellent communication and interpersonal skills;
  • Proven problem-solving skills with the ability to visualize and deliver creative solutions; and
  • Ability to manage multiple internal clients and be adaptable to the needs of each.
