Organizational Purpose

The Disability Foundation (DF) and its affiliates have been serving people with physical disabilities in British Columbia and across Canada for 30 years. The Disability Foundation manages six affiliated societies and three social ventures:

About the Role

The Intake Coordinator and Receptionist reports to the Director of Operations. He/she is responsible for the intake of Requests for Assistance (RFA) forms and calls and to ensure the flow of work continues to appropriate parties. In addition, the Intake Coordinator and Receptionist will be the front-line reception for all societies and the Disability Foundation.

The incumbent has access to confidential data and must maintain the confidentiality of all stakeholder information and must not discuss such matters outside the Disability Foundation. Tact and discretion must be used in all dealings with stakeholders including governance boards, staff, contractors, partners, volunteers, clients, and the general public.

Areas of Accountability: The Systems Administrator will assist the Director of Operations in the functions of Operational Systems (Tetra) and Office and Facilities Management.

Operational System (Tetra Society)

  • The Intake Coordinator receives Request for Assistance forms (by email or phone call) and ensures all information on form are entered. These forms can come from clients, healthcare professionals, chapter coordinators, and from the Neil Squire Society (Makers Making Change).
  • Forward completed RFAs to appropriate parties: National Tetra Coordinator, Finance Department, Data Entry, Chapter Coordinator, Tetra Volunteer, etc.
  • Implement continuous improvements – review current results and after analysis, discuss improvements to our services and work processes.

Office and Facilities Management

  • Perform reception for the Disability Foundation and its affiliated societies. Reception is primarily phone calls (60%), emails (30%) and walk-ins (10%)
  • Assist with events (e.g. ConnecTra workshops, Abilities Expo)
  • Assist the Executive Assistant with office administration – support the front office tasks including, but not limited to, managing room bookings, couriers, printing, and ordering supplies and services.
  • Other duties as assigned.

  • Highly organized
  • Office 365 (Outlook, Word, Excel, & PowerPoint) experience
  • Database experience is an asset
  • Nonprofit systems experience is an asset
  • Nonprofit sector experience is an asset
  • After hours work may be necessary
  • Successful completion of related background check(s)
