TITLE: Intake Coordinator
DEPARTMENT: Intake Operations
REPORTS TO: Director, National Intake Operations
DESCRIPTION SUMMARY
Intake Coordinator is responsible to schedule and coordinate appointments with clients, physicians and examinees and will possess experience in Accident Benefit claims or training in the area of medical and rehabilitation and is familiar with the Statutory Accident Benefit Schedule.
EDUCATION AND/OR EXPERIENCE
Post clinical experience, post secondary education and bilingual skills are an asset
QUALIFICATIONS
- Relevant experience in an Intake role is required
- Demonstrated ability to type a minimum of 35 W.P.M.
- Fluent command of the English language verbal/writing
- Proficiency in Microsoft Office 2013, Windows 7 and data bases
- Must possess strong tendencies for accuracy and attention to detail
- Demonstrated ability to work independently, prioritize work activities and manage time efficiently
- Solid working knowledge of PIPEDA/PHIPA and best practices
- Demonstrated ability to promote a positive team -oriented environment
- Demonstrated ability to work well under pressure and step up
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING :
- Schedules and confirms appointment dates with assessors
- Communicates with clients regarding appointment scheduling, appointment changes, and receipt of medical records and/or images
- Coordinates with the client to obtain required medical records prior to examination
- Creating and processing exam notification letters
- Communicates with physicians, clients and/or examinees regarding any schedule changes
- Ensures the efficiency in cancelling/re-scheduling as needed
- Coordinates ancillary services when needed
- Prompt response to incoming calls, e- mails or faxes from physicians or clients
- In the spirit of customer service extended hours are occasionally required beyond the regular eight (8) hour work day
