Who You Are

You are ground zero for customer service, a specialist in human-to-human interaction. You love meeting and talking to people, making them feel welcome and informed. As the first person our clients meet, you help set the tone for positive, ongoing relationships. A personable self-starter with a good sense of humour, you are natural and perceptive with people at all levels. You’re helpful and extremely organized and your can-do attitude inspires everyone around you. You can multi-task and prioritize on the fly while taking care of details. What You’ll Do

You’re the first face of Direct Focus—calm, friendly, confident and savvy. You can call up useful information in an instant, from catering to couriers. You’ll manage and respond to mail, phone calls and emails—taking, relaying and forwarding messages. You’ll apply courier charges to client invoices, make sure we never run out of office supplies and arrange food for client lunches. Reporting to the Vice President of Infrastructure, you’ll help our administration run smoothly and cheerfully. Most of all, you’ll make everyone who walks through our front doors—clients, visitors and staff—feel welcome and appreciated.

A Day In Your Life

  • Be friendly and helpful towards anyone entering our office
  • Welcome clients and let their Accounts Team know they’ve arrived
  • Be discerning as you screen visitors who arrive without an appointment
  • Answer incoming calls, redirect callers and take or relay messages
  • Provide customer service that shows respect and insight and reassures clients
  • Communicate with departments and offices through notices and updates
  • Book conference rooms and provide refreshments or catering for client meetings
  • Order and manage inventory of office and stationery supplies
  • Help out with company social events
  • Assist with employee and security-related responsibilities (entrance fobs, parking passes, after-hours sign-in sheets, etc.)
  • Keep reception area and boardrooms presentable and professional in appearance
  • Stock and manage supplies for kitchens (coffee, tea, milk, cream, soap, etc.)
  • Contact vendors for equipment maintenance when required
  • Handle daily mail, making sure all documents and deliveries reach employees
  • Accept or sign for deliveries; arrange for couriers; sort, log and apply info to the correct invoice; occasionally do urgent deliveries or emergency pick-ups.

Requirements

Education

  • Business administration certificate, training or equivalent experience

Experience

  • 3 to 5 years of solid administrative as receptionist with a mid-to-large company
  • If you’re bilingual (French/English or Spanish/English), that’s an asset

Skills & Competencies

  • Understand and operate a multi-line switchboard
  • Communicate clearly and professionally with clients and colleagues, showing outstanding written and oral communication skills
  • Anticipate and respond to clients’ needs, inquiries and preferences
  • Be highly organized as you deftly manage multiple priorities and deadlines
  • Develop relationships and work effectively and efficiently with people at all levels of the organization and with our clients
  • Be professional and discreet, maintaining a high level of confidentiality
  • Understand and operate proficiently in MS Office (Word, Excel, PowerPoint, Outlook)
  • Interact efficiently with clients and Direct Focus team members while responding to work-related circumstances that arise during peak periods
