This position is responsible for the daily operations and maintenance of the Departmental Registry/Records Centre. Responsibilities include: processing all incoming mail and entering in the Departments Document Management System (TRIM); entering Crown Lands applications referred to the Department for processing and catalogues accordingly; ensuring the quality and integrity of scanned documents; monitoring head officer printers to ensure settings are compliant with the Departmental standard; maintaining and gathering statistical data on registry operations; developing and maintaining contract management and filing systems (electronic and paper); ensuring the confidentiality and security of records is maintained at all times; participating in the development of Information Management policies and procedures; disposing of records in accordance to approved policies and disposal procedures; participates in the processing information under the Access to Information and Protection Act , 2015.

Merit Criteria (What is this?)

Screening Criteria

Diploma in Records and Information Management, Business or Office Administration (or equivalent)

Coursework in records and information management (asset)

Experience with Electronic Document and Records Management Systems (EDRMS)

Experience with HP Records Manager and/or TRIM (asset)

Assessment Criteria

Knowledge of records and information management.

Knowledge of information protection practices.

Knowledge of Electronic Document and Records Management Systems.

Knowledge of Microsoft Word and Excel, and Adobe Acrobat.

Knowledge of HP Records Manager and/or TRIM (asset).

Ability to communicate (verbal).

Ability to communicate (written) .

Ability to manage time and tasks.

Ability to work independently.

Ability to maintain confidentiality.

Attention to detail.

Relationship building.
