Role Overview

Reporting to the HR Generalist, the Office Admin/Receptionist is responsible for ensuring positive first contact with the organization and displaying high levels of customer service to internal and external clients. The Office Admin is also responsible for assisting and supporting the rest of the executive team so that they can work efficiently.

Job Duties

  • Greets and directs corporate office callers by answering calls from various parties; determining nature of business and directing callers to appropriate destination;
  • Welcomes visitors and employees to the corporate office by greeting them; answering and referring questions;
  • Provide administrative support to the Executive team, including coordinating travel arrangements, manage calendars and organize/coordinate internal and external meetings, correspondence and expenses;
  • Maintain general office tidiness and the maintenance of office equipment and supplies;
  • Perform Reception and general office administration duties;
  • Coordinate various meetings, internally and externally; prepare agendas and minutes, as required;
  • Prepare the Executives for meetings including compiling information and debriefing on pertinent information;
  • Conduct research and compile data as required;
  • Completes other administrative duties as assigned.

Qualifications

  • Diploma in Business Administration preferred; Bachelor’s degree is an asset
  • 1 to 3 years’ experience in related office administration duties
  • Exceptional written and verbal communication skills
  • Professionalism and strong customer service orientation
  • Ability to work both independently and collaboratively as part of a team
  • Self-starter with proven ability to be resourceful and proactive to obtain information needed to complete tasks;
  • Strong time management skills with the ability to prioritize work and multi-task within a fast paced and deadline driven environment
  • Strong interpersonal skills, with proven ability to interface with senior levels of management;
  • Self-starter with a strong work ethic and the ability to take initiative
  • Strong MS Office skills: Excel, PowerPoint, Word and Outlook and overall computing skills
