Dalhousie’s Faculty of Medicine teaches scientific excellence and humanity in medicine and trains doctors to be accomplished clinicians, compassionate caregivers, good communicators, and balanced individuals. The department of Pathology offers Masters, PhD and Residency training programs. Reporting to the Department Administrator, the Administrative Assistant will provide administrative and operational support to the Department Head, Department Administrator and the overall department.

Key Responsibilities:

  • Act as a primary resource and contact person for the department; greet visitors, answer phone calls, relay messages, etc.
  • Provide administrative support to the Department Head and Department Administrator.
  • Coordinate and arrange various departmental committee meetings; book rooms, record minutes, prepare and distribute agendas, minutes and other relevant materials.
  • Perform reconciliation of financial accounts and other financial duties (purchase orders, cheque requisitions, journal entries, process travel claims, etc.).
  • Arrange for couriers, distribute mail, process requests for building maintenance and repairs and maintain inventory of office supplies, ordering as necessary.
  • Coordinate and plan logistics for various departmental events.

Qualifications: Office/ Business Administration diploma with 3-5 years’ relevant experience in administrative support or coordinator role, preferably in a university/higher education, government, or hospital setting. Excellent communication and interpersonal skills are required. Ability to adapt, prioritize, multitask and stay organized is required. Demonstrated ability to work in a confidential environment. Minute taking experience preferred.

Salary Range: $22.28 – $27.17 per hour (32.5 hours per week, $37,647- $45,911 annually). This is a 1-year term and a 0.5 FTE position, so annual salary will be pro-rated to $18,824 – $22,956). (16.25 hours per week) (AS1).

This is a provisional classification. Formal classification procedures will be initiated by the Compensation & Job Evaluation Unit in approximately six months.

This position is part of the Nova Scotia Government and General Employees Union Local 77 (NSGEU).
