Reporting to the Senior Director Operations, the Administrative Assistant will function as the central point of contact for the Senior Director’s office. The position will manage the Senior Director’s calendar, oversee the office logistics and collaborate with program management on important projects and assist with day-to-day administrative and operational problem solving and issue resolution on behalf of the Senior Director. Major administrative functions include scheduling and coordinating meetings, preparing meeting packages/updating business documents and spreadsheets, preparing Agendas and recording minutes, coordinating interviews, special events, travel arrangements and itineraries, preparing expense claims and overseeing office supplies and equipment. Must be capable of working in a busy office environment and managing multiple priorities while retaining large amounts of information relating to the portfolio. Must display a positive, professional demeanour at all times and have excellent interpersonal skills. Must be capable of coordinating and organizing special events and meetings. Must be able to capture meeting deliberations concisely and accurately through minute taking. Please note there is potential for this position to become permanent upon the conclusion of the temporary assignment.

Required Qualifications: Grade twelve (12) diploma with a diploma in Office Administration, or equivalent required. Minimum five (5) years senior administrative support experience required. Intermediate skills using Microsoft Office Applications and an ability for learning new computer applications. Creative and innovative problem solving skills. Well developed organization and planning skills. Excellent interpersonal and verbal/written communication skills. Proven ability to work effectively in a team setting, as well as with all levels of the organization, with a flexible and creative approach to problem solving. Ability to handle multiple tasks under pressure of time lines. Strong knowledge of office administrative practices. Ability to coordinate and organize events and special projects. Ability to capture meeting deliberations concisely and accurately through minute taking.
