POSITION TITLE: GUEST SERVICES COORDINATOR

DURATION: 14 month contract

LOCATION: MISSISSAUGA

ROLE:

Reporting to the Guest Services Manager, the Guest Services Coordinator provides support to staff and clients to ensure CHSI booked events and administrative support activities are carried out efficiently and guests enjoy a positive experience.

Responsibilities and Duties

KEY RESPONSIBILITIES:

CLIENT SUPPORT

  • Act as first point of contact and central liaison for guests and clients, ensuring guests are greeted upon arrival in order to create a favorable first impression, ensure all needs are coordinated and concerns and complaints are responded to in a timely manner
  • Receive and screen all incoming calls daily, respond to routine inquiries and forward accordingly to relevant internal representatives
  • Distribute and record usage of temporary security passes, microphones etc.
  • Respond to requests for room/space bookings to support reservations, utilizing reservation software
  • Assist Marketing Coordinator with the promotion of CHSI facility and services, respond to client queries regarding CHSI events, facility offerings and amenities, interact with clients and support marketing initiatives through cold calling prospects
  • Assist Clients on occasion with technical support for audio-visual equipment, HVAC and other equipment as needed
  • Provide assistance to on-site clients in the coordinating/photocopying and distribution of training & presentation material/documents as needed

ADMINISTRATIVE SUPPORT

  • Prepares routine correspondence, reports and presentations, maintains files and databases, ensures timely data entry and retrieval of required information for Guest Services
  • Create weekly invoice requests for Corporate Event Centre clients and follow up on all aged receivables
  • Categorize and distribute accounts payables in while working closely with accounting

RELATIONSHIP MANAGEMENT

  • Works closely with colleagues and staff members to exchange information, ensure service delivery issues are identified and resolved to support efficient delivery of services to CHSI clients and visitors

QUALITY IMPROVEMENT

  • Identify opportunities to improve quality of event services delivered and how the facility is presented to clients/guests, providing input and recommendations to Manager
  • Comply with CHSI policies and procedures and Health & Safety regulations. Provide ongoing feedback to Manager by identifying areas for policy updates and workplace/operations improvements.

Qualifications and Skills

REQUIRED SKILLS AND EXPERIENCE

  • College diploma in Business Administration, Hospitality or related discipline. Minimum of 3 year related work experience, and/or equivalent combination of education/work experience
  • 3 years of event management industry experience considered an asset
  • General knowledge of health and safety approaches and standards
  • Ability to handle multiple requests and work in a fast paced office environment
  • Demonstrates a “can-do” attitude. Results focused
  • Excellent interpersonal, organization, verbal and written communication skills. Detail oriented
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint and Outlook)
  • Work independently with minimal supervision

WORKING CONDITIONS

  • Core Hours are Monday to Friday 7:30am-4:00pm
  • Work is primarily performed in an office environment
  • Occasional requirement to work non-standard hours, i.e. overtime, nights, evenings and/or weekends
  • Requirement for heightened sensory attention/acuity relating to day-to-day activities, that include regular computer work, meetings, phone conversations, etc., to focus attention and listen attentively for extended periods of time
