We are a construction firm with a focus on providing customized residential and commercial hardscaping and landscaping services to a growing list of clients throughout the Maritimes. Given our growth and plans for the future, we now have an exciting opportunity available for an Office Administrator to work with our President and Controller in building out the Company’s administrative processes and work as an executive assistant to the Owner.

This is an excellent opportunity for a self motivated, organized, hard working individual with strong administrative and customer service skills who is just starting out in their career. This position will provide them the opportunity to grow with our Company including opportunities for advancement in the future.

Duties:

Executive Administration

Serve, as needed, in an administrative function as an assistant to the President for company scheduling, calendar management (business and some personal), matters of client relationship management, administering contracts and jobs, recording and maintaining meeting minutes and follow up tasks from meetings as well as adhoc tasks as required.

Office Administration

Maintain office supplies and schedule on all administrative matters, manage vehicle and building key controls as well as manage vehicle and equipment maintenance log. Assist in the administration of new office and shop construction as required. Maintain administrative aspects of Company safety program.

Accounting and Data Management

Assist Controller with data input and administration related to payroll, accounts payable and accounts receivable as required.

Required Skills & Knowledge:

- College diploma or post secondary education with a focus in business administration.

- A positive attitude and a desire to learn in a fast paced environment.

- Beginner to intermediate user of all microsoft suite applications; with a particular comfort in Excel.

- Self motivated and driven with excellent organization and time management skills.

- Ability to solve problems independently and think critically as well as the ability to identify when escalation may be required.

- Ability to work outside of regular business hours as required (ie some weekend or evening work may be required from time to time).

- Valid drivers license and transportation to and from the office independent of public transportation.
