Job Description:Position Summary:
Provides administrative support to daily business
operations within the West Region. Provides functional
and transaction support related to human resources
programs. Provide support to an employee population with
varying levels of knowledge, skills, ability and
competencies within a multi-cultural environment.

Key Responsibilities:
Operations Administration (65%)
General Administration

  • Supports operational projects
  • Accounts Payable back up support (set up accounts/pay

invoices/set up PO’s)

  • Support the annual budget process (planning &

reporting)

  • Prepare invoices for lab services and co-packing

(internal & external customers)

  • Maintain JDE in relation to facilities maintenance

program

  • Supports the administration of Compliant Pro
  • Set up and maintains maintenance database
  • Prepares reports for effluent and water volume

RTB reporting & CI

  • Prepare various reports (RTB, CI, downtime)
  • Audit daily production records to ensure appropriate

checks are performed

  • Reconciliation of finished case reports
  • Administrative support to CI initiatives

VQA Wine Submissions & other wine shipments

  • Assemble finished goods, package, ship and track

submissions

  • Complete related documentation and maintain records of

awards

  • Prepares & tracks wine shipments to US for analysis as

required

  • Prepares & tracks export wine shipments to Europe (V1

EU)

  • Prepares & tracks sample orders as required and

updates JDE
Human Resources Administration (35%)

  • Supports the administration of employee handbooks, HR

policies and regulatory requirements

  • Supports recruitment process for salaried positions as

required

  • Leads recruitment for hourly positions
  • Prepares job posting
  • Screens resumes
  • Schedules interviews
  • Leads selections process
  • Prepares offer letter
  • Leads the HR onboarding process for hourly employees

(completion of new hire documentation, benefit
enrollment)

  • Maintains employee files
  • Training Support for H&S requirements on new and

existing employee base.

  • Support in Maintenance and Tracking of Employee

Training Matrix and Certificate Expiry and Renewal

  • Supports HRIS, Payroll and Kronos administration
  • Provides individualized support to employees in

relation to various HR programs (eg: i-Trade set up)

  • Primary contact for benefits administration (general

inquires, forms completion, education sessions)

  • Prepares HR reports as required (eg: demographics,

absenteeism)

  • Completes federal/provincial reporting (eg: Stats

Canada Vacancy report)

  • Responds to external requests such as legal request

related to MVAs (attendance, benefits, payroll, job
details)

  • JHSC Member (Secretary)
  • Plant Committee Member (Secretary)

Qualifications:

  • College diploma in Office Administration and/or Human

Resources Management

  • 1-2 years related experience
  • Proficiency in Microsoft Office
  • Knowledge in applications software is an asset
  • Ability to work in a multicultural working environment

Physical Requirements/Other:

  • Must be able sit and work on a computer for extended

periods.

  • Must have a valid driver’s license.
