Organize, facilitate and attend for Inquiries, Complaints and Reports Committee (“ICRC”) meetings and teleconferences

  • Receive case materials from staff and prepare them in a format that Committee members can access electronically
  • Liaise with Business Services, IT and Facilities to ensure appropriate materials preparation and meeting set-up, e.g. teleconference equipment, internet connections, laptops, parking, etc.
  • Prepare agendas and assign cases to Committee members
  • Conflict screen all matters and ensure quorum for all assigned meetings
  • Upload relevant case materials to Microsoft SharePoint Workspace for assigned meetings
  • Answer queries from Chair, panel members and staff as required
  • Ensure participation of necessary participants (e.g., Chair, panel members, investigators, decision administrators, legal counsel) and communicate regularly with them before, during and after ICRC meetings
  • Attend meetings to record motions and minutes and assist Chair with order of agenda items and adherence to No Discussion Lists
  • Finalize minutes and posts them promptly to the appropriate directory and in CATS
  • Facilitate the decision approval, signing and sending process
  • Update the appropriate AMS systems and tracking charts post ICRC meetings
  • Participate on working groups and assist with special projects and other duties as required
  • Qualifications

    • Demonstrated ability to manage multiple and competing priorities
    • Proven organizational skills to manage high volumes of work and pay close attention to details
    • Excellent oral and written communication skills, with a high degree of professionalism
    • Proficient in: Word, Excel, Outlook, Adobe.
    • Knowledge of AMS, CATS and Microsoft SharePoint an asset
    • Demonstrated ability to make sound judgments and decisions and to work closely with staff and committee members
    • Post-secondary education and/or 2 years related work experience preferred
