We are looking for a Receptionist/Office Assistant to join our growing team at Cleantech!

Position Summary:

The Receptionist/Office Assistant provides general office support with a variety of clerical activities and any other related tasks. The receptionist is responsible for answering incoming calls, directing calls to appropriate individuals, mail distribution, flow of correspondence, requisition of supplies as well as performing any other additional ancillary duties. The Receptionist/Office Assistant will report to the Finance Manager.

This position is a temporary position that starts April 1st. The shifts will be 8 to 4 PM, Monday to Friday.

Primary Responsibilities:

Essential Functions:

  • Answer all in-bound telephone calls and direct the caller to the appropriate individual and direct transfers of calls to an associates voice message in their absence
  • Greets and direct visitors and guests to the company and notifies the respective employee of their guests
  • Provides caller(s) with information such as company address, directions to the company, location, company fax numbers, company’s website and any other related company information
  • Receives, sorts and forwards incoming correspondence to respective individuals
  • Coordinates pick-ups and deliveries of express mail services and couriers
  • Receiving orders from cleaner and preparing packing slips for Warehouse and enter into Filemaker for billing to client
  • Order, prepare, package and record uniforms for Executive Administrator & Trainer
  • Scan and archive office documentation
  • Assist in ordering, receiving, stocking and distributing of office supplies and ordering and replenishing pantry supplies.
  • Miscellaneous housekeeping duties – kitchen and laundry


  • Ensuring that all outgoing mail is sent to the appropriate deposit containment facility daily for pick ups.
  • Maintaining and updating communication list complete with contact numbers, direct lines and e-mail addresses and distributing updated communication contact list to office staff
  • Assists Warehouse Manager in receiving of deliveries when he is unavailable
  • Prepares logbook
  • Prints MSDS and Cleaner’s Time Sheet
  • Prints SOPs and laminates
  • Keeps the front office organized, neat and tidy to maintain a professional outlook


  • Actively participate in periodical all staff meetings.
  • Remain resilient towards stress in relation to work load.
  • Contribute towards a spirit of team work with management, supervisors and colleagues.
