Reporting to the Manager, Municipal Law Enforcement Services, or designate, provide a broad range of administrative and clerical support for various business functions within Municipal Law Enforcement and Licensing. Responsibilities

Duties include: providing branch clerical support (e.g. filing, typing, creating, editing and managing forms/templates); assisting in the tracking and preparation of branch budgets; tracking and reporting on branch accounts payable and receivable records; tracking and reporting on administrative penalty record; general data entry; report generation and data analysis of various service units; dispatching complaints and calls to officers in the field; attending meetings and recording minutes; coordinating hearings and hearing reports; tracking recording and reporting on attendance records; providing front-line customer service by responding to inquiries and complaints; providing assistance to customers and support to Service Oshawa; administrating KeyScan database.

Job Requirements Knowledge and skills generally associated with the completion of an Office Administration Diploma from a recognized community college, plus three (3) years of relevant secretarial, administrative and reception experience, or have an equivalent combination of education and relevant experience. Established skills and experience using PC equipment and related software applications (e.g. Microsoft Office Suite, POS, Versatile). Good customer service experience and communication skills to deal effectively and courteously with staff and the general public; good interpersonal skills with the ability to establish and maintain positive working relationships. Ability to work independently, quickly and competently with frequent interruptions and ability to work under pressure in order to meet deadlines. Possess a sense of accuracy and thoroughness. Possess personal qualities of maturity, tact, discretion and have a willing and co-operative attitude. Ability to travel between various MLELS locations to complete assigned work. Ability to work evenings and overtime, as required.
