We are looking for a proficient Administrative Assistant within the Office of the Mayor and Office of the City Manager to start in April 2017. While working in the Office of the Mayor this position reports to the Manager of Office Services and while working in the Office of the City Manager you will report to the Director of Economic Development. This position provides administrative support to the Office of the Mayor on a set daily schedule, greets/assists dignitaries to Mayor/Council Office and provides quality customer service and addresses public complaints and/or inquiries. This role provides administrative and technical support to the Director of Economic Development including monitoring of budget, calendar, etc.; arranges appointments for the corporate visitation program; prepares analysis of the data collected; leads the survey design, analysis and report-writing; inputs the data as well assists with customer service questions at the counter or by phone. You will be responsible for the Records Management/Documentum program, the reconciliation of purchase card statements and the ordering of office supplies for the Mayor/Council office.
two year College diploma in Office Administration, or equivalent
one to two years administrative assistant experience, preferably in a public organization or municipal environment,
excellent communication skills and customer service, and the ability to work with committees, including report writing and taking of minutes
This position is within Grade 1 of the Non-Union Salary Schedule and has an annual salary range of $46,073 to $56,188, based on working 35 hours per week. We offer a comprehensive benefit package and are an Ontario Municipal Employees Retirement System (OMERS) employer.
