What you’ll be doing

  • Support premises issues in a timely manner to ensure employees have a clean and secure environment in which to work.
  • Physical security procedures are in place and being adhered to.
  • First point of contact for assisting and coordinating Centre recognition events and celebrations including the booking and setup of equipment meeting rooms, projectors, etc.
  • Submit continuous improvement ideas during fiscal 2016 resulting in the implementation of 4 or more of the submitted ideas during 2016- 1 implemented per quarter
  • Embrace and support the sustainment of the PPCP principles within the NBO team
  • Ensure that all governance and compliance requirements are in place and completed within the established timelines.
    i.e. Ensure Guests, visitors and vendors are signed into building following proper process.
  • Information, visitors and phone calls are received and screened using good judgment, as per CIBC physical security policy.
  • Responsible for the maintenance and management of the CHUBB security system as per established guidelines.
  • Contribute to a successful audit
  • Ensure CMTT training is completed by the established timelines

  • Input received from the various stakeholder groups
  • Order stationary, black boxes and headsets and place orders for equipment repairs within established budget requirements.
  • Responsible for ensuring all courier and fax requests are completed within compliant with Corporate policy.
  • Update Outlook distribution lists, internal phone lists, mailing lists, organization chart, and BRP information- act as back up when required.
  • Coordinate and book travel requirements for management- in a timely and accurate manner, and within budget requirements.
  • Mailroom- Ensure all mail is distributed in a timely manner ensuring CIBC privacy policies are adhered
  • Work as a team/team player by providing additional support to the National Business Office team

What We’re Looking For

  • Attention to detail and accuracy is critical and required at all the times
  • Organization and administrative skills
  • Strong technical skills in software packages such as Microsoft Word, Power Point, Excel, Outlook, and various databases, as well as various types of office equipment.
  • Strong analytical skills.
  • Capable of operating independently with minimal direction while keeping manager informed of variances, potential problems and/or sensitive issues, etc.
  • Understand business processes and practices within CIBC including CIBC expense policies, administrative systems, technical processes, etc.
  • Analyze information, identify and resolve issues.
  • Be flexible and adaptable to changing priorities, processes, and requirements.
  • Effectively manage multiple activities of varying complexity while under time constraints.
  • Good communication and interpersonal skills to interact with a wide range of individuals in a wide range of situations, which usually requires tact, diplomacy, and discretion.
  • Provide efficient, effective service to all clients.
  • Respond to client requests promptly.
  • Resolve client service problems within scope of responsibilities.
  • Understand business and logical security processes and practices within CIBC.
  • Initiative and self-managing skills to be able to work independently.
  • Knowledge of Telephone Banking’s processes and procedures would be considered an asset.

What You Should Know

  • The target start date for this position is June 13, 2016

  • Hours of work: Monday – Friday 9am-5pm with half an hour lunch
  • Compensation for this role is: $35,800/yr
  • Relocation assistance is not available with this opportunity
