Children’s Wish Foundation of Canada now has a regular fulltime opportunity for a Volunteer & Community Engagement Coordinator in their Ontario Chapter Office, located in Pickering, Ontario.

Under the direction of the Regional Director, Ontario, the Volunteer & Community Engagement Coordinator is responsible to coordinate the Foundation’s volunteer program and community fundraising at the local level.

Primary Responsibilities:

Volunteer Management

  • Coordinate all areas of the volunteer cycle (including recruitment, screening, orientation, placement, training, recognition and evaluation) for office and first & third party fundraising events according to Children’s Wish Volunteer Policies and Procedures.
  • Achieve volunteer needs/priorities with input from Development staff identifying strategies, sources and timelines.
  • Provide regular progress updates and identify successes, issues and challenges
  • Provides support to staff with events and acts as an ambassador of Children’s Wish by speaking on behalf of Children’s Wish when required.
  • Liaise with appropriate staff as well as external stakeholders/organizations regarding volunteer engagement opportunities
  • Develop and implement work plans to provide on-going training as needed to ensure all volunteers are kept-up-to date with new/changed processes and procedures
  • Identify and pursue potential volunteer recruitment opportunities within the community
  • Develops and implements a stewardship and recognition program.
  • Lead staff and volunteers in the planning of volunteer appreciation events and facilitate and encourage participation in the awards nomination process
  • Maximize the use of existing volunteer engagement tools and resources
  • Coordinates, schedules, and follows up with assigned volunteers after chapter events to discuss successes and opportunities for the future.
  • Works in collaboration with the National Office Volunteer Coordinator by providing timely information on current documentation and processes and acts as a central point of contact to the National Office

Wish Ambassador

  • Understand the wish granting process, and work with the Wish team to recruit appropriate Wish families to act as ambassadors of the foundation

Volunteer Sub-Chapter Recruitment & Support

  • Identify new opportunities to support increased revenue generation, wish fulfilment, and awareness
  • Research & understand the communities in which our wishes are granted, and where volunteers are available to give the Foundation community presence
  • Work with current sub-chapter chairs to continue to assist, and grow their respective areas
  • Recruit members of community groups (ie: different ethnic groups, as well as geographical areas) to act as subchapter leads or members
  • Through recruitment activities, ensures a strong volunteer infrastructure is developed to provide support to sub-chapter staff when needed.
  • Provides on-boarding training as required to ensure sub-chapters chairs and volunteers are fully integrated into the Foundation.
  • Maintains strong relationships with sub chapters and attend various events as well as offsite training through the on-boarding process.

Community Group Engagement (Fund development)

  • Recruit, engage & steward schools & community groups to raise funds on behalf of the Foundation

Administrative

  • Works in compliance with the provisions of The Occupational Health & Safety Act and Accessibility for Ontarians with Disabilities and its regulations
  • Ensure volunteer records are up-to-date and accurate through data entry (while adhering to confidentiality and privacy policies)
  • Responds to all inquiries for volunteer opportunities providing information and appropriate documentation to volunteer candidates to support the on-boarding process.
  • Reviews incoming volunteer applications to identify current opportunities within the Chapter and Sub-Chapter Offices, this may include telephone screening to identify best fit to the Foundation.
  • Receives and reviews volunteer applications and sends out orientation packages.
  • Becomes familiar with, and understands Children’s Wish accounting procedures ensuring compliance with the Foundation’s management practices.
  • Utilizes strong administrative and computer skills to complete all administrative and data management tasks associated with volunteer coordination on a timely basis.
  • Utilizes high degree of creativity in the development and design of marketing and promotional material including PowerPoint presentations, flyers/brochures, and other material while adhering to national policies.

Other

  • Attends and actively participates in meetings organized not only at the chapter level, but also at the national level when appropriate.
  • Other duties as assigned.

Physical or Mental Effort:

  • Possesses strong organizational skills in planning, executing and completing projects by agreed deadlines.
  • Strong accountability for results – taking action and ownership to address obstacles and overcome barriers, identifying possible options and alternative and delivering results within tight timelines.
  • Physical activity may include lifting of boxes with materials and setting up equipment, etc.

Working Conditions:

  • Primary responsibilities are carried out in the Chapter Office, however, may be required to attend indoor and outdoor events within the province.
  • This position is required to work outside normal office hours during peak season to attend corporate events.
  • Valid driver’s license and access to a reliable vehicle is required to fulfill the responsibilities.

Qualifications:

Education and Experience

  • Solid understanding of volunteer engagement practices obtained through volunteer management certificate or related post-secondary education; or the equivalent combination of education and experience
  • 2 years of experience working with volunteers; preferably in a multi-level organization
  • Ability to develop and maintain new and existing relationships with volunteers, staff and corporate partners through oral and written communication and interpersonal skills
  • Must be highly motivated and enjoy working in a fast-paced environment on various tasks simultaneously
  • Demonstrated experience in problem solving and good judgement
  • Experience working with groups and delivering presentations
  • Demonstrated time-management and organizational skills.
  • Flexibility with changing priorities and ability to remain focused to meet targeted timelines.
  • Proficient in MS Office (Outlook/Word/Excel) and experience working with databases and mass e-mail
  • Positive attitude; ability to take responsibility and be accountable; ability to deal with change in the workplace and be innovative; respect for others.
  • Valid driver’s licence and access to a vehicle
  • Proficient in Microsoft Office 2010 (Word, Excel, PowerPoint and Outlook) and related search engines.
  • Familiarity with Raiser’s Edge.
