POSITION SUMMARY The Emergency Research Administrative Assistant is responsible for providing administrative, secretarial and clerical support, ensuring confidentiality and efficient conduct of business through the office.

The Emergency Research Administrative Assistant will provide administrative support for research related activities. Specific duties will include supporting the Research Director and Investigators within the Division of Emergency Medicine.

Administrative duties to support the academic activities of the researchers within the Division of Emergency Medicine and related to maintaining the research goals of the division.

§ Establish and maintain a filing system of all ED research projects and their current status. Respond to requests for information from divisional, department, research groups and university sources.

§ Coordinate grant and ethics committee submissions; includes formatting documents to meet individual granting agency submissions, completing forms, obtaining signatures, obtaining supporting documents and tracking status of application.

§ Maintain CIHR Common CV modules and attachments for all ED investigators, along with other CV formats as required, in conjunction with other administrative assistants.

§ Aid in the preparation, proof-reading and submission of journal articles and other manuscripts, including on-line submission.

§ Assist in literature searches and document retrieval. Obtain journal articles as requested. Maintain appropriate reference databases and on-line alerts of newly published materials.

§ Maintain divisional research display board.

§ Organize and participate in research team meetings.

§ Assist with the preparation and distribution of newsletters, written materials, bulletins along with maintaining mailing/contact lists.

§ Collaborate and liaise with members of the Research Institute and other research groups. May include attending meetings and rounds.

§ Provide administrative support to Emergency Department Outreach Program including contacting and liaising with community emergency departments, booking educational sessions, communicating with ED Outreach team, organizing ED Outreach team meetings, taking minutes, preparing handouts/packages for educational sessions, collating evaluations, preparing certificates of attendance, maintaining database regarding Outreach activities

§ Coordinate travel and accommodation arrangements, submit travel approval and expense forms.

§ Provide back up support to other administrative support personnel within to cover vacation and other short term vacancies.

§ O ther duties as assigned.

QUALIFICATIONS § Police Record Check (PRC) (Essential)

§ Business Administration Diploma or other appropriate combinations of education and experience,

along with the demonstrated knowledge, skills and abilities to perform the duties of the position, may be

considered in lieu of stated education and experience. (Essential)

§ Approximately 1 year of previous secretarial, administrative experience. (Essential)

§ 5 Years of previous administrative research and data entry experience including assistance in grant,

ethics and manuscript submissions (Preferred)

§ Demonstrated competency in MS Office, Word, Excel, PowerPoint, MS Access and Web/Internet Skills (Essential)

§ Able to work as part of a team, take initiative to meet deadlines, be flexible and work in a fast-paced, dynamic

environment (Essential)

§ Able to work independently and with a high degree of organization (Essential)

§ Excellent interpersonal, oral and written communication skills (Essential)

§ Knowledge of the organization, function of hospital and health care settings. (Essential)

§ Ability to exercise discretion, sound judgment and high degree of confidentiality. (Essential)

§ Competency with citation software for references (i.e.: Refman or Endnote) (Essential)

§ Bilingual (English and French) (Preferred)
