Reporting to the Director, Supply Chain Management and practicing our corporate values of R.E.S.P.E.C.T., the successful candidate’s responsibilities will include, but are not limited to, the following:

  • Business System administration to include the review and distribution of reports in accordance to standard operation procedures for assigned areas;
  • Reviewing vendor setups to avoid duplications and ensuring information is entered correctly into the Business System;
  • Reviewing orders and contract templates to align with standard operating procedures;
  • Invoice management to include the review of invoices to purchase orders, resolving discrepancies and attaining proof of delivery as assigned on a prompt basis so payments are made on a timely basis;
  • Creating purchase orders and purchasing order backup, expediting orders and updating tracking sheets;
  • Providing guidance and answering questions received from properties, corporate and vendors on an ongoing basis;
  • Providing credit information submission process to vendors;
  • Being an active participant for vendor rationalizing process by assessing new vendor setups and identifying inactive vendors on an ongoing basis;
  • Maintaining national and local Contract Summary and Contract Expiry spreadsheets;
  • Facilitating the signing of contracts and filing of executed contracts in accordance to policy and procedures;
  • Keeping WSIB and Certificate of Insurance and MSDS Sheets for National Vendors up to date;
  • Managing and tracking local contracts for Properties, assisting contract/program leads as assigned, updating SCM Google Site upon request;
  • Contributing to the development of department initiatives, enhancements, and procedures.

The ideal candidate possesses:

  • A minimum of three (3) to five (5) years of experience in a purchasing environment;
  • Experience in creating purchase orders, expediting and managing and tracking orders;
  • Invoice management to include detailed review of invoices to purchase order and resolving discrepancies;
  • Completion of High School, college education preferred.
  • Experience in building reports in Excel from scratch and creating pivot tables;
  • Ability to work independently and manage projects from start to end, high detail-orientation with strong organizational and analytical skills;
  • A highly developed “customer service” orientation that lends itself to supporting customers and vendors;
  • Excellent listening with strong written and verbal communication skills;
  • Ability to prioritize, multitask and meet deadlines with a sense of urgency;
  • Ability to make decisions and identify potential risks;
  • Proficiency in Microsoft Office, especially in Word, Excel and PowerPoint;
  • Strong preference for fully bilingual (English and French) candidates.
