Position Title: Payroll Assistant (Temporary Relief)

Hours: 30 hours per week

Unit or Department: Finance

Summary or Profile of the position / Nature and Scope
This position supports mainly the Accounting team in finance matters and operations. The Accounting team manages all the financial data and related documents of the organization operation, from leasing to purchasing, payroll and compliance of financial policy and procedures. This position receives daily work instruction from the Senior Accounting Manager of the Finance Unit.

Essential duties and responsibilities

  • Assist and support Payroll Administrator in all related duties
  • Ensure compliance to collective agreement, government legislation and company policy
  • Liaise with Human resources, other departments and staff as required
  • Process hours received from all sites and assists in preparation of bi-weekly payroll
  • Assist in review of time sheets, leave records, and other related information in order to detect and reconcile payroll discrepancies
  • Verify attendance, hours worked, and post information onto designated records
  • Maintains individual staff attendance records, time sheets and vacation requests
  • Assist in maintaining the implementation of accounting and accounting control procedures
  • Assist in compiling financial information to prepare payroll related entries to accounts, such as general ledger accounts, and document business transactions
  • Prepare and process staff expense for bi-wkly payroll
  • Assist in reconciling third party remittance and source deductions
  • Review, sort and distribute pay stub
  • Prepare & process bank reconciliation for vacation coverage
  • Provide support to Senior Accounting Manager and Payroll Administrator
  • Provide back up for Accounts payable, room booking and Reception.
  • Perform other unplanned task or duties of transient nature as assigned by the supervisor

Position specifications / Knowledge and Skills

  • College diploma in accounting or related subjects or equivalent; minimal 3 years of relevant experience, preferably in non-profit setting
  • Knowledge of payroll and general accounting principles
  • Excellent communication, problem solving and interpersonal skills
  • Excellent organization skills, project and time management skills
  • Intermediate experience and high level of proficiency using a variety accounting software packages, including MS Office, QuickBooks, AccPac, Great Plains, etc.
  • Ability to take initiative, and work independently
  • Superior organization skills and attention to detail
  • Ability to work under stress and meet deadlines
