Office of Academic Partnerships and Pathways/Academic Excellence Unit
(June 2018 – 6 Month Contract)

Reporting to the Senior Manager, Academic Partnerships and Pathways, the SCWI and Partnerships Assistant provides ongoing support for key partnerships as well as partnership implementation and management. This includes the School-College-Work Initiative (SCWI) program delivery, particularly School Within A College (SWAC), Ontario Youth Apprenticeship Program (OYAP), and Dual Credit courses inclusive of SCWI related activities and partnership related events and activities. The incumbent plays a pivotal role in supporting Centennial faculty, SWAC teachers and SCWI students for both academic and administrative matters. Aside from playing a supporting role, the incumbent is responsible for newly funded SCWI programming and activities such as Adult Dual Credit (ADC), After (SWAC) funding, symposiums/forums and activities as well as key projects for SCWI related initiatives (i.e. a new Mentoring program). This role will also assist with researching trends in youth retention, provincial best practices, and will identify and assist with opportunities for Centennial to lead on these topics through presentations, reports, research, representation, etc. Operationally, the incumbent will assist with student registration, orientations, attendance and absenteeism prevention, student data management, and academic integrity promotion, special events and the promotions of SCWI internally and externally. Additionally the role will assist with SCWI and partner events; website updates; the coordination of marketing and promotions activities and materials; and programming schedules for all delivery formats and offerings.

Responsibilities
  • Assist with the collection of student information from school boards and development of each Banner student record
  • Support the enrolment and withdrawal of students from Centennial courses
  • Assist with the preparations for and facilitation of orientations for new SCWI students along with securing access to necessary services (e.g., student identification, lockers)
  • Assist with identifying and creating supporting information and/or resources for faculty teaching dual credit courses
  • Support the ordering of course, orientation and celebration materials
  • Assist with entering and tracking financial information such as invoices and receipts
  • Assist with updating various marketing materials (i.e. Centennial’s website and intranet, print materials, CGTAT website, etc.)
  • Support the planning of future SCWI courses, meeting with both school board officials and Centennial academic administration; offering findings from program data (i.e. enrolment, retention/persistence, completion, attendance, course evaluations, funding, SCWI statistical analysis) in supporting planned growth, comparative analysis from other colleges and Regional Planning Teams (RPTs)
  • Assist with planning and implementation of SCWI activities and events (school visits, larger board activity days, forums)
  • Assist with creating draft proposals for school board activities
  • Lead the implementation of newly funded SCWI programming and activities such as Adult Dual Credit (ADC) and After School Within A College (SWAC) supports
  • Organize the annual Stepping Stones Forum in October 2018 on behalf of the Regional Planning Team #2. This includes liaising with other colleges; preparing communications; managing registrations, invitations; volunteer planning, recruitment and oversight; attendee materials; SWAG; marketing; day of event oversight; parking and meeting room logistics; budget; food orders; event debriefs and reporting
  • Lead the pilot planning and implementation of the new SCWI Mentoring Program at Centennial.
  • Schedule services, orientations, photo IDs, service visits, etc. for students with College departments and onsite staff
  • Initiate arrangements and ongoing communications to external partners, members for meetings and updates
  • Assist with website updates, marketing and promotions activities and materials (including social media, website, etc.)
  • Other duties as assigned

Qualifications
  • 2 Year diploma in developmental service worker, Event Management, Business, Business Administration – Management or Marketing, Office Administration or Project Management, or a baccalaureate degree
  • Minimum one year experience organizing events for 20 to over 150 people
  • Minimum one year experience preparing professional communications and/or marketing materials
  • Proven experience with small to medium-sized datasets with ability to produce reports
  • Experience gathering partner information or market research and presenting findings to large groups/mid and senior level administration
  • Event planning and management experience
  • Exceptional customer service skills
  • Advanced interpersonal, communications, and problem solving skills
  • Advance skills in Microsoft office programs including Word, Excel and PowerPoint
  • Demonstrated ability to manage multiple projects, work towards deadlines, with the flexibility to shift priorities. Must work well under pressure
  • Experience, knowledge, and understanding of working effectively in an environment with a diverse student and staff population
  • Banner and/or Desire 2 Learn (D2L) system experience an asset
  • Beginner level statistical analysis (cross-tabulation, correlations) would be ideal
