Objective
This position provides customer service, administrative and clerical support to the facility to ensure client / stakeholder satisfaction, efficiency of the operation and the service of the clients is maintained at all times.

Reporting Relationship
Reports directly to the Regional Administrator

Specific Responsibilities & Accountabilities

Responsible for greeting clients and other guests to the facility
Responsible for reception coverage, including answering the telephone
Provides routine accounting support to the facility including Billing and Accounts Receivable
Enters client data, client charges, collects payments and issues receipts
Has a strong understanding of the services offered by Monarch House
Aids in the Business Administrator in the management of the clinic schedule
Prepares materials for clinical staff as appropriate
Purchase of supplies within guidelines and maintains up-to-date inventory records
Ensures that all facility equipment is in proper working order
Conducts routine inspection of premises and undertakes necessary routine action to ensure that the facility is maintained in a tidy and clean manner
Responsible for ensuring that new hires have completed all necessary forms for on boarding, managing key cards, and computer access
Ensure that fresh coffee, tea, milk and cups are available to parents/visitors
Answer queries from referral source and patients with regards to services;
Responsible for the daily billing functions, including billing of clinical services, processing of patient accounts and accuracy of data entry;
Sorts and distributes mail;
Responds to requests from lawyers for medical legal reports and copies of client treatment records;
May be required to hire, supervise and train other support staff under the direction of the Clinic Manager;
Provides timely routine accounting support to the clinic, including:
producing, verifying and balancing daily revenue;
maintaining petty cash account;
daily reconciliation with payments to bank deposits (deposit automation)
working on accounts receivable (preparing month end invoices, submission of government billing (BCeID) where applicable, and collection activities);
managing accounts payable (including recording invoices and payment);
Maintain Request to Pay (RTP), authorization documentation and follow up and account cap oversight;
Communicate and liaise with Service Coordinator, Scheduler, Clinic Administrator and Director of Operations to ensure proper management of funding and service agreements with clients and their families/support systems;
Conducts routine inspection of clinic premises and undertakes necessary routine action to ensure that the clinic is maintained in a tidy and clean manner, befitting a professional health care facility;
Monitors/flags account concerns
