POSITION: Assistant Education Coordinator

STATUS: Full-time, permanent

REPORTS TO: Senior Manager, Professional Development


The Canadian Marketing Association is seeking a full-time Assistant Education Coordinator to work in the Professional Development Department. Attention to detail and the ability to work on multiple projects with various team members are key skills for this role.


The primary responsibilities of this role include:

  • Handling inquiries (both on the phone and via email)
  • Contact for questions/concerns related to seminars/courses
  • Processing registrations, applying payments, creating invoices, adding individuals/companies to database as needed
  • Communicate with industry professionals (facilitators, guest speakers, senior-level volunteers)
  • Assisting in the planning and execution of all CMA seminars
  • Booking seminar venue/catering
  • On-site assistance at CMA seminars
  • Creating, distributing and compiling seminar and course evaluations
  • Maintaining inventory of seminar/ course materials
  • Booking and arranging courier deliveries and pick-ups
  • Copying and production of all department related materials
  • Maintenance of the CMA certificates database (update and input grades)
  • Production and mailing of course certificates
  • Monitor and update seminars portion of CMA website
  • Tracking expenses/revenue as related to the seminars program
  • Prepare and deploy marketing emails for Professional Development department
  • Submit weekly financial reports to department head
  • Track competitive analysis data
  • Additional duties as assigned


  • Post-secondary education
  • Minimum 1 year office experience
  • Proficiency in MS Office programs (including Access and Excel)
  • Experience with Adobe Dreamweaver and coding would be an asset
  • Must be fluent in English (oral and written)
  • Demonstrated customer/client service skills
  • Excellent communications skills
  • Excellent organizational and priority setting skills are a must
  • Ability to research information and summarize key details
  • Not-for-profit experience an asset
